Operations Coordinator
We're looking for a highly organized, proactive, and resourceful Operations Coordinator to join our fast-growing startup, Dusty Robotics. In this role, you'll provide high-impact onsite support to our C-level leaders while also keeping our office operations running smoothly. You'll be at the heart of our leadership team and company culture — anticipating needs, solving problems before they arise, and helping things run like clockwork.

Role Responsibilities
Executive Support (Approximately 2/3 of the role)
- Provide on-site support to at least five C-level leaders, owning calendar management, travel booking, and meeting logistics with speed and precision.
- Coordinate complex, cross-functional meetings and leadership off-sites — managing invites, agendas, and follow-ups.
- Prepare internal docs, decks, and briefs to keep execs organized and aligned across company priorities.
- Act as a liaison between execs and internal/external stakeholders, handling communication with professionalism and discretion.
- Manage expense reports, reimbursements, and vendor payments.
- Support key hiring and onboarding efforts for exec team hires and their departments.
- Anticipate needs — you'll be their right hand, keeping things from falling through the cracks.
Office Coordination (Approximately 1/3 of the role)
- Keep our Mountain View office running smoothly — manage supplies, equipment, mail, vendors, and overall space vibe.
- Plan occasional team events and celebrations (onsite and virtual), partnering with HR/Operations to bring culture to life.
- Own office communications and logistics (e.g. closures, visitors, IT needs, last-minute scheduling shifts).
- Be the go-to person for office-related questions — from "Where's the HDMI cable?" to "Who do I contact for building access?"
- Assist and support HR/Recruiting with coordination, scheduling and setting up onsite interviews as well as new hire setup and workspace readiness in partnership with IT and Ops.
- Help drive office-related projects like space planning, swag orders, or refresh initiatives.
Requirements
- 3+ years of executive assistant and/or administrative support experience.
- 2+ years of office or operations management experience in a fast-paced environment.
- A natural problem-solver with strong prioritization and time management skills.
- Skilled at juggling multiple stakeholders, personalities, and shifting priorities without dropping balls.
- Tech-savvy and quick to learn tools like Google Workspace, Slack, Zoom, and our ATS/HRIS platforms.
- Discreet, trustworthy, and comfortable handling sensitive information.
- Not afraid to roll up your sleeves and tackle whatever needs doing — big or small.
- A great communicator who brings clarity, calm, and a sense of humor to everything you do.
- Strong organizational and multitasking skills—you thrive on keeping things moving.
- Excellent written and verbal communication.
- Valid driver's license.
