Recruitment, Selection & Onboarding
- Works with department managers on the recruitment & selection of suitably qualified personnel to meet the requirement for recruitment in accordance with company policy.
- Prepares & arranges advertising via notice boards, intranet, internet & newspapers.
- Performs initial phone interviews, screens applications, arranges & participates in interviews.
- Performs reference checks & arranges pre-employment assessments.
- Prepares letters of employment & induction packs.
- Conducts orientation & induction programs for new employees.
- Works with external recruitment agencies to co-ordinate the hiring of temporary & casual staff as required.
Payroll & End of Month Processes
- Analysis of awards, enterprise bargaining agreement and Donaldson's classification and grading structures to determine grades and pay differentials.
- Weekly processing of payroll for all staff, using computerized payroll and time and attendance systems.
- Sets up & enrolls all new employees on the timekeeping system (My Workplace).
- Provides assistance/advice to the supervisors on timekeeping system issues (My Workplace).
- Completes processing of payroll end of month procedures including payroll reports, payroll tax reconciliations, inland revenue including kiwi saver, group tax, union fees, child support, garnishees and ensures that payments are made by designated due dates.
- Completes monthly reconciliation of superannuation and uploads to clearing house. Ensures that payment is made by the designated due date.
- Complete monthly headcount reports for local finance and APAC HR.
- Update weekly and monthly payroll statistics relating to overtime, absenteeism and headcount.
- Complete month-end reporting for the business.
Industrial Relations
- Provides advice, support & guidance to managers, supervisors and employees on all HR matters.
- Coaches managers and supervisors in dealing with performance management issues.
- Conducts grievance, disciplinary and termination meetings in accordance with relevant legislation, policies & procedures.
- Handles & resolves grievances raised by employees &/or union representatives as appropriate.
- In conjunction with the Director HR undertakes industrial relations activities in relation to the Donaldson Enterprise Agreement, relevant awards and employment legislation.
- Prepares the annual EOWA Report.
Training & Development
- Structures, prepares & presents internal training courses as required/directed including using external technical assistance where necessary.
General HR
- Works with the business units as a partner to them.
- Working with the HR Coordinator is responsible for being the initial point of contact for all HR related enquiries.
- Prepares employment contracts & various other correspondence on behalf of the company.
- Undertakes policy and procedure development and reviews, implements as required/directed.
- Working with the HR Coordinator on maintains personnel records to ensure they are up to date.
- Updates job descriptions to reflect changes in positions.
- Conducts exit interviews as required.
- Undertakes various HR projects as directed;
- Assists in preparation and coordination of employee engagement events.
- May assist in the application of temporary and permanent residency visa applications.
- Participates in internal and external HR/payroll audits.
Safety
- Actively promotes safety by ensuring safe systems of work within role.
- Adheres to all company WHS policies and procedures.
- Follows client's WHS policies and procedures when on site.
- Reports all incidents in a timely manner; implements outcomes as requested.
General
- Undertake all tasks with a positive and professional work ethic.
- Ensures all work is undertaken in a safe and tidy manner.
- Ensures all activities related to your duties comply with company policies and procedures, relevant legislation, legal and professional standards as well as the company's code of conduct.
- Undertake any other task associated with the operations of the business that may be reasonably requested from time to time or subject to a specific direction.
