Importation Planning Specialist

Executes sea/air importation plans (OFR/AFR Import) to ensure the flow of goods and information along the global supply chain of the client, utilizing maritime transport, maximizing profitability and optimizing the use of company resources in line with the company's strategy and objectives, guidelines, and policies. It deals with the preparation and clearance of documentation, providing support and advice to customers on export operations and regulations, following the implementation of the customer's operational requirements and plans to ensure efficient logistics processes. • Applies practical knowledge of the work area, usually acquired through advanced training and professional experience • Works independently with general supervision • The problems faced are difficult, but generally not complex

Key tasks:

1. Execute sea/air importation plans and processes to provide maritime shipping services to internal and external customers, in line with customer requirements, ensuring operational excellence and a high level of customer service;
2. Collect guidelines from internal functions and receive, execute, and update orders through the system;
3. Manage the allocation and reservation of cargo spaces on the planned main transport, necessary for the performance of the sorting center and operations;
4. Determine national and/or international transport rates on incoming materials and products, based on the analysis of rates, commodity classifications, delivery schedules, and deadlines;
5. Process, manage, distribute, and archive all required import documents; verify invoices and shipping documents to ensure compliance with Incoterms and CDZ guidelines;
6. Adhere to operational standards and procedures to provide excellent customer service, ensuring operational excellence;
7. Coordinate with overseas offices to verify shipment information; respond efficiently and competitively to customer requests;
8. Ensure accurate and timely submission of billing information to customers; verify and enter estimated costs, validate and approve payable accounts;
9. Check for any billing discrepancies, such as incorrect rates or charges;
10. Verify entries to ensure customer requirements are met and suggest standard corrective actions in case of deviations
11. Report and manage exceptions/issues assigned by other functions or directly by the customer;
12. Collaborate with Warehouse, Transportation, ICC, and customs brokers to resolve issues, ensuring service quality and timeliness;
13. Handle customer complaints and operational irregularities, and report them through dedicated tools; identify and resolve recurring issues, suggesting changes to the working methods of sea/air importation (OFR and AFR) to increase effectiveness and efficiency.

Stakeholder Management:

• Can influence others within their area of expertise through the explanation of facts, policies, and operational practices;
• Collaborates with other sites/functions and coordinates third parties, e.g., external service providers;
• Builds relationships and understands the interests and needs of key customers and stakeholders;
• Manages issues related to activities appropriately to maintain operational flow.

Individual contributor without direct responsibility for managing others.

Key qualifications and requirements:

• Good administrative skills and attention to detail;
• Good knowledge of the OFR and AFR Import product (over 2 years of experience);
• Good communication skills;
• Open attitude and ability to adapt to customer needs and requirements.
