Professional Services Contracts Coordinator

The Professional Services Contracts Coordinator manages and administers high-value professional services contracts that present high risks. The position holder manages the risks associated with the contracts, manages multiple contracts as needed, and regularly reports to supervisors and client partners. They also manage the cost, scope, and schedule of the contracts. Additionally, they monitor bids and coordinate the review of expert consultant deliverables to confirm their compliance with the contract terms. They also manage the relationship with client partners and the performance of expert consultants, document key communications with expert consultants, and keep client partner project managers informed of market risks and status.

Key Activities and Periodic Tasks: Here is a representative but not exhaustive list of tasks and responsibilities related to the position:

  • Manage multiple contracts and competing priorities as needed.
  • Provide support to other service sectors and coordinate work with them (e.g., reviews of documents prior to tenders).
  • Prepare estimates and negotiate costs for market scope expansion.
  • Ensure that the deliverables of the expert consultant meet the requirements of the contract (e.g., review invoices, scope of work, deliverables).
  • Ensure the quality of the work performed under the contracts and write market performance reviews.
  • Track and monitor the market schedule, including all deliverables milestones.
  • Manage the financial aspects of the contracts and certification of payments.
  • Establish and maintain effective relationships within Construction Defence Canada as well as with industry, client partners, and stakeholders.
  • Ensure compliance with quality standards, in accordance with the expectations of the Company and client partners.
  • Manage risks associated with the contracts.

Other:

  • Review scope of work statements for issues related to contract management.
  • Visit construction sites and coordinate construction phase activities and performance with the construction works coordinator.
  • Ensure that the work of the expert consultant complies with environmental, health, safety, and industrial security requirements.
  • Perform other duties as required.

Competencies General and Specific Knowledge:

  • Best practices, methods, trends, and legislation in professional services.
  • Cost estimation related to professional services contracts.
  • Construction products and materials.
  • Expert consultant procurement mechanisms, contract law, and tendering processes.
  • Common design processes and deliverables (e.g., pre-conception, schematic design, preliminary design, construction documents).
  • Project management, contract management, and risk management principles.
  • Health and safety management.

Education/Certification(s) and Experience:

  • Minimum requirement: college diploma in engineering, architecture, or a related field, and five years of relevant experience, or equivalent.
  • Asset: certification in a relevant field (e.g., Project Management Professional, Certified Engineering Technologist).

Skills:

  • Use appropriate software and operating systems.
  • Implement project management, contract management, and risk management techniques.

Professional Development and Leadership:

  • Provide functional guidance and advice to employees and client partners.

Work Conditions:

  • Typical office environment; occasional travel.
  • The position holder may be required to work on construction sites, in which case they may occasionally be required to wear basic safety equipment.
