Professional Services Contracts Coordinator

The professional services contracts coordinator manages and administers professional services contracts that present medium risks. The position holder manages the risks associated with the contracts, manages multiple contracts as needed, and regularly reports to supervisors and partner clients. They also manage the cost, scope, and schedule of the contracts. Additionally, they monitor bids and coordinate the review of consultant deliverables to confirm their compliance with the terms of the contract. They also manage the relationship with partner clients and the performance of consultants, document key communications with consultants, and keep client project managers informed of the risks and status of the contracts.

Key Activities and Periodic Tasks

Here is a representative, but not exhaustive list of the tasks and responsibilities related to the position:

  • Manage multiple contracts and competing priorities as needed.
  • Provide support to other service sectors and coordinate work with them (e.g. reviews of documents prior to tenders).
  • Manage the risks associated with the contracts.
  • Prepare estimates and negotiate costs for the expansion of the contract scope.
  • Ensure that the deliverables of the consultant meet the requirements of the contract (e.g. review invoices, work statements, deliverables).
  • Ensure the quality of the work done under the contracts and write market performance reviews.
  • Follow and monitor the schedule of the contract, including all stages related to the deliverables.
  • Manage the financial aspects of the contracts and the certification of payments.
  • Establish and maintain effective relationships within Construction Defence Canada as well as with the industry, partner clients, and stakeholders.
  • Ensure compliance with quality standards, in accordance with the expectations of the Corporation and partner clients.
  • Manage the risks associated with the contracts

Other Tasks

  • Review work statements for issues related to contract management.
  • Visit construction sites and coordinate construction phase activities and performance with the construction works coordinator.
  • Ensure that the consultant's work complies with environmental, health, safety, and industrial safety requirements.
  • Support or lead business expansion activities.
  • Perform other tasks as requested.

Knowledge

  • Best practices, methods, trends, and legislation in professional services.
  • Estimation of costs related to professional services.
  • Construction products and materials.
  • Procurement mechanisms, contract law, and tendering processes of consultants.
  • Common design processes and deliverables (e.g. pre-design, schematic design, design development, construction documents).
  • Principles of project management, contract management, and risk management.
  • Health and safety management.

Education/Certifications and Experience

  • Minimum requirements: college diploma in engineering, architecture, or a related field, and four years of relevant experience, or equivalent.
  • Asset: certification in a relevant field (e.g. Project Management Professional, Certified Engineering Technologist).

Skills

  • Use appropriate software and operating systems.
  • Apply project management, contract management, and risk management techniques.

Development and Leadership

  • Provide functional advice and guidance to employees and partner clients.

Working Conditions

  • Typical office environment; occasional travel.
  • The position holder may be required to work on construction sites, in which case they may occasionally be required to wear basic safety equipment.
