Professional Services Contracts Coordinator

The Professional Services Contracts Coordinator manages and administers professional services contracts that present medium risks. The position holder manages the risks associated with the contracts, manages multiple contracts as needed, and regularly reports to supervisors and client partners. They also manage the cost, scope, and schedule of the contracts. Additionally, they monitor bids and coordinate the review of consultant deliverables to confirm their compliance with the terms of the contract. They also manage the relationship with client partners and the performance of consultants, document key communications with consultants, and keep client partner project managers informed of the risks and status of the contracts.

Key Activities and Periodic Tasks: Here is a representative but not exhaustive list of tasks and responsibilities related to the position:

  • Manage multiple markets and competing priorities as needed.
  • Provide support to other service sectors and coordinate work with them (e.g., reviews of documents prior to tenders).
  • Manage the risks associated with the contracts.
  • Prepare estimates and negotiate costs for market scope expansion.
  • Ensure that the consultant's deliverables meet the requirements of the contract (e.g., review invoices, scope of work, deliverables).
  • Ensure the quality of work performed under the contracts and write market performance reviews.
  • Track and monitor the contract schedule, including all stages related to deliverables.
  • Manage the financial aspects of the contracts and the certification of payments.
  • Establish and maintain effective relationships within Construction Defence Canada as well as with the industry, client partners, and stakeholders.
  • Ensure compliance with quality standards, in accordance with the expectations of the Corporation and client partners.
  • Manage the risks associated with the contracts.

Other Tasks:

  • Review scopes of work for issues related to contract management.
  • Visit construction sites and coordinate construction phase activities and performance with the construction works coordinator.
  • Ensure that consultant work complies with environmental, health, and safety, and industrial safety requirements.
  • Support or lead business expansion activities.
  • Perform other tasks as required.

Knowledge: General and Specific:

  • Best practices, methods, trends, and legislation in professional services.
  • Cost estimation related to professional services.
  • Construction products and materials.
  • Procurement mechanisms, contract law, and expert consultant tender processes.
  • Common design processes and deliverables (e.g., pre-conception, schematic design, preliminary design, construction documents).
  • Principles of project management, contract management, and risk management.
  • Health and safety management.

Education/Certifications and Experience:

  • Minimum Requirements: College diploma in engineering, architecture, or a related field, and four years of relevant experience, or equivalent.
  • Advantage: Certification in a relevant field (e.g., Project Management Professional, Certified Engineering Technologist).

Skills:

  • Use appropriate software and operating systems.
  • Apply project management, contract management, and risk management techniques.

Professional Development and Leadership:

  • Provide functional advice and guidance to employees and client partners.

Working Conditions:

  • Typical office environment; occasional travel.
  • The position holder may be required to work on construction sites, in which case they may occasionally be required to wear basic safety equipment.
