Professional Services Contracts Coordinator

The holder of this position will need to travel to Cold Lake approximately once a month to participate in contract meetings and site visits, and to support other contract-related activities as needed.

This role requires the ability to work effectively in a fast-paced environment while managing multiple projects simultaneously.

The Professional Services Contracts Coordinator manages and administers high-value professional services contracts that present high risks. The position holder manages the risks associated with the contracts, ensures the management of multiple contracts as needed, and regularly reports to supervisors and client partners. They also manage the cost, scope, and schedule of the contracts. Additionally, they monitor bids and coordinate the review of consultant deliverables to confirm their compliance with the terms of the contract. They also manage the relationship with client partners and the performance of consultants, document key communications with consultants, and keep client partner project managers informed of risks and the status of the contracts.

Key and periodic activities: Here is a representative but not exhaustive list of the tasks and responsibilities related to the position:

  • Manage multiple markets and competitive priorities as needed.
  • Provide support to other service sectors and coordinate work with them (e.g., reviews of documents prior to tenders).
  • Prepare estimates and negotiate costs for market scope expansion.
  • Ensure that consultant deliverables meet contract requirements (e.g., review invoices, scope of work, deliverables).
  • Ensure the quality of work performed under contracts and write performance reviews of contracts.
  • Track and monitor the contract schedule, including all deliverables milestones.
  • Manage the financial aspects of contracts and certification of payments.
  • Establish and maintain effective relationships within Construction of Defense Canada as well as with industry, client partners, and stakeholders.
  • Ensure compliance with quality standards, in accordance with the expectations of the Corporation and client partners.
  • Manage the risks associated with contracts.

Other:

  • Review scope of work statements for issues related to contract management.
  • Visit construction sites and coordinate construction phase activities and performance with the construction works coordinator.
  • Ensure that consultant work meets environmental, health, and safety, and industrial safety requirements.
  • Perform other tasks as required.

Competencies:

  • Best practices, methods, trends, and legislation in professional services.
  • Cost estimation related to professional services contracts.
  • Construction products and materials.
  • Consultant procurement mechanisms, contract law, and tendering processes.
  • Common design processes and deliverables (e.g., preconception, schematic design, preliminary design, construction documents).
  • Project management, contract management, and risk management principles.
  • Health and safety management.

Education/certifications and experience:

  • Minimum requirement: college diploma in engineering, architecture, or a related field, and five years of relevant experience, or equivalent.
  • Asset: certification in a relevant field (e.g., Project Management Professional, Certified Engineering Technologist).

Skills:

  • Use appropriate software and operating systems.
  • Implement project management, contract management, and risk management techniques.

Development and leadership:

  • Provide functional guidance and advice to employees and client partners.

Working conditions:

  • Typical office environment; occasional travel.
  • The position holder may be required to work on construction sites, in which case they may occasionally be required to wear basic safety equipment.
