The Support Services Business Unit is seeking an Office Services Specialist in Portland, OR.
This role supports essential daily operations including printing and production, mailroom coordination, audio/visual setup, supply ordering, and general office services.
We are looking for someone who is friendly, flexible, customer-service minded, and able to adapt as priorities evolve. This position plays a key role in creating a positive workplace experience for employees and visitors and requires a polished, professional demeanor.
Key Responsibilities
Printing & Production:
- Operate plotter, small-format printers, and digital press equipment
- Maintain and update job logs
- Coordinate specialty printing requests and ensure timely completion
Mailroom & Shipping:
- Sort, scan, and distribute daily mail
- Process incoming and outgoing shipments via UPS, FedEx, and USPS
- Maintain and operate USPS postage meter
- Prepare and distribute new employee welcome gifts
- Process UPS weekly invoices
- Coordinate companywide computer shipments
Supply Ordering & Vendor Coordination:
- Order and track supplies from vendors including Staples, OPNW, Copiers NW, UPS, Pitney Bowes, J2, and others
- Monitor inventory of office supplies, paper, toner, and print materials
- Approve and route invoices related to Support Services purchases
Audio/Visual & Meeting Support:
- Set up audio/visual equipment for meetings and events
- Set up and break down conference rooms for meetings and events
- Prepare and clean up food and beverage service for conferences and meetings
- Assist with Zoom and hybrid meeting setups
General Office & Facilities Support:
- Distribute and restock paper, toner, and perform basic copier maintenance
- Coordinate pool vehicle maintenance and service
- Facilitate and distribute companywide holiday gifts
- Support facility logistics and office operations as needed
- Respond to on-the-fly requests with professionalism and adaptability
Required Qualifications
Skills & Competencies:
- Strong customer service orientation; friendly and approachable
- Excellent attention to detail
- Ability to multitask and adapt quickly as priorities change
- Strong problem-solving skills and ability to think creatively
- Effective verbal and written communication skills
- Ability to work independently and as part of a collaborative team
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams)
- Willingness to learn new systems, equipment, and processes
Education & Experience:
- High school diploma or equivalent
- 4+ years of experience in an administrative, office services, or mailroom role.
- Performs duties with minimal supervision and exercises judgment in resolving routine issues
- Attention to detail, proven track record of effective collaboration and communication skills across multiple groups
Physical Requirements:
- Ability to lift, push, pull, and move up to 50 pounds (paper boxes, equipment, mail bins, etc.)
- Ability to move and set up AV equipment and meeting room materials
- Ability to stand, walk, bend, reach, and handle materials throughout the day
