Office Production & Services Specialist

The Office Production & Services Specialist plays a vital role in overseeing and managing strategic operations across print production and general office services. This role combines expertise in production management with policy-setting, vendor strategy, and operational oversight.

Day-to-day responsibilities would include a combination of the following:

  • Print Production
    • Manage and operate print production strategy, developing workflows, setting quality standards, and managing vendor contracts to ensure cost efficiency and brand consistency
    • Partner with IT to ensure appropriate technology and to troubleshoot as needed
    • Collaborate with internal and external partners and establish quality control standards
    • Understand and maintain person and project specific requirements/preferences
  • Mail & Shipping Services
    • Design and manage corporate mail and shipping policies
    • Manage contacts with courier and postal vendors
    • Audit vendor compliance to internal policies
  • Office Services & Supplies
    • Develop and manage the office supply program, including researching and evaluating new vendors, contract management and budgetary compliance
    • Lead office initiatives such as signage, events, promotional material etc.
    • Evaluate vendors for specialty services (i.e., swag, business cards, branded programs) and make selection recommendations
  • Administrative & Operational Support
    • Oversee operational reporting including print production, supply usage, mail and shipping KPIs and transactional logs
    • Lead cross pillar or entity operational initiatives and coordinate with domestic and satellite offices
    • Identify opportunities to streamline processes and improve service delivery
    • Advise leadership on opportunities to streamline and increase efficiency and cost
    • Additional duties as assigned

The ideal candidate will possess the following knowledge, skills, attributes, and values:

  • Design capabilities from visualization to creation through such programs as Adobe Creative Suite or the like (i.e., InDesign, Illustrator, Photoshop)
  • Metrics & Data Analysis abilities (i.e., create KPIs across operations, track, report)
  • Ability to drive between sites, events, or vendors as required for business needs.
  • Flexibility for occasional overtime during peak production periods or special projects/events.
  • Frequent use of printers, copiers, mailing machines, and general office equipment.
  • Able to work independently and exercise sound judgment

Qualifications:

  • Proven experience in operation management, vendor strategy and business processes
  • Strong knowledge of print production management, supply chain and vendor negotiations
  • Demonstrated ability to develop policy and manage budget
  • Excellent organizational, project management and communication skills
  • Attention to detail and commitment to quality control
  • Proactive problem-solver
  • Comfortable in fast-paced environments with tight deadlines
  • Valid drivers license

Compensation for the role includes a competitive salary in the range from $75,000 -$90,000 (inclusive of a merit-based bonus, dependent on years of experience, level of education obtained, as well as applicable skillset) and an excellent benefits package, including a comprehensive employer paid medical plan and generous employer match for 401k.
