Service Coordinator For The Seattle District Service Office

Daikin Applied is seeking a Service Coordinator for the Seattle District Service Office in Kent. This role is responsible for customer service, coordination of technician schedules to fulfill service work, and administrative functions that support the efficient operation of a commercial HVAC service office. Location: In office; Kent, WA.

What You Will Do:

1. Work with Operations team and District Manager in scheduling and dispatching of Commercial HVAC Technicians for jobs (startups/repairs, warranty, maintenance).
2. Address customer inquiries and route questions of technical nature to the appropriate resource.
3. Track time and attendance for Technicians.
4. Coordinate job startups and maintain communication with customer regarding scheduling for the startup and follow-up on jobs in progress/completed.
5. Invoice and bill customers.
6. Perform local office AP/AR functions. Follow up with customer to ensure that payment has been received.
7. Ensure timely close-out on all work orders and that all associated paperwork is received and filed appropriately.
8. Coordinate warranty administration process.
9. Order parts and tracks shipments.
10. Enter and maintain information into Enterprise Resource System, including work orders, new customer information, and technician hours for billing purposes.
11. Maintain OSHA logs.
12. Answer telephones and greets customers and maintain professional and courteous customer contact.
13. Organize and coordinate inventory process.
14. Assist new hires in the completion of their new hire paperwork, complete employer required sections of forms (I-9) and follow up with Human Resources.
15. Gather local prevailing wage rate and send hours worked by Technicians on applicable jobs to Human Resources.
16. Provide initial notification of Workers Compensation claims to insurance carrier.
17. Maintain office equipment for service office.

Minimum Qualifications:

• High School Diploma or GED.
• 3+ years of related experience, in Mechanical, Electrical, Plumbing service field or comparable industry.
• Working knowledge of Microsoft Office Suite.
• Strong written and verbal communication skills.
• Strong organization, problem-solving, and customer service skills.

Preferred Qualifications:

• Bachelor's degree may be considered in lieu of work experience.
• Experience with Astea or any other service tracking software.

The typical hourly pay rate for this position ranges from $29 - $48 in Seattle. The range displayed represents a pay range for positions in the job grades which this position falls. Individual base pay will depend on a wide range of factors including your skills, qualifications, experience, and location.
