Oversee Helpdesk Operations
1. To provide management advice for Helpdesk for escalated issues during the shift
2. To ensure immediate response to all priority calls during the shift and follow escalate process
3. To ensure planning is done for all internal Events in coordination with events team
Oversee Front Office Operations
1. To provide management advice for Front Office for escalated issues during the shift
2. To ensure immediate response to all priority calls during the shift and follow escalate process
3. To take rounds of front office, lobby area, rest rooms to ensure a high standard of housekeeping & upkeep
4. To ensure front has news papers & magazines are placed by FOE
Oversee Mail Room Operations
1. To provide management advice for Mail Room for escalated issues during the shift
2. To ensure immediate response to all priority calls during the shift and follow escalate process
Oversee Technical Services
Establish contacts with local authorities on the facility related issues and maintain the relationship. Responsible for all legal & authorities related compliances pertaining to facility & engineering systems.
Carry out Technical Audits for all installations at periodical intervals
Review the maintenance/service practices of M&E Contractors to deliver quality work practices in line with the manufacturer recommendations
Plan & take responsibility for smooth operations of all Mechanical, Electrical, Plumbing installations and Civil works pertaining to the facility
Responsible for development of all maintenance related schedules and shutdowns in consultation with TR / OEMs
Periodically inspect the logbooks, checklists and PPM schedules for a better management of Engineering systems
Cafeteria Operations
1. To ensure caterers are maintaining a high standard of hygiene in the services areas
2. During food run out situation, coordinate with the catering vendor or any other alternative arrangements
3. To ensure lab test is done for Raw Materials, Preparations Stage & Service Stage
4. To manage and supervise the quality, quantity and the cost of meal and refreshments being served in the cafeteria
5. To ensure that the operating hours, menus will be prominently displayed in all prominent places in the cafeteria
6. To conduct quarterly basis the traffic analysis and ensure that waiting time on the cash counter and food counters
7. To ensure that the table & chairs are cleaned at all times and the frequency shall be modulated according to the traffic
8. To ensure that tracking is done on the vendor crockery like spoons, plates etc to ensure no shortage
General Operations
1. To ensure upkeep of Pantry equipment & reprographic equipments at all times and take necessary actions
2. To ensure all such communication is entered in the Technical team/HK team log book to inform the next shift person
3. To make facility tour and list out all such actions needed
4. Prepare weekly rosters for Helpdesk, Front Office, Mail Room and communicate in advance to the team
5. To adhere to Policies, Processes & procedures and also the statutory documents
6. To adhere to SLA & KPI as agreed
7. To coordinate with Engineering team for any such issues that need their help
Provides daily oversight of the Space Administration Office. This office resolves various space related issues such as key requests, work orders, small projects, relocations, conference room reservations, environmental conditions etc.;
Evaluates building and space uses and, after appropriate consultation, determines space allocations and assignments
Creates, coordinates, and facilitates business processes for maintaining accurate space information;
