The purpose of the role is to provide administrative, legal and commercial support to the Aurora Commercial & Contracts Manager (ACC Manager) and the Aurora Team in relation to day to day running of the unit, contract management and commercial requirements.

The successful candidate will support the ACC Manager monitoring contract progression, contract implementation and new customer set up pricing and tender responses. Other tasks will involve supporting the business by inputting data into our CRM system and following up on work flow status as well as support on specific projects and administrative duties.

The successful candidate will also manage assigned tasks related to any commercial or contract requirements.

We are a small team with varied responsibilities and opportunities may arise to work on other areas within the team. There is an opportunity in the team to expand the role and for the individual to gain valuable experience in a professional technical and business environment.

There is a requirement to act as delegate for the ACC Manager for meetings and leave cover.

Responsibilities:

  • Support the day to day delivery of service via the CRM process/workflow (CRM is used as the Customer Relationship Management tool). Input new opportunities on CRM
  • Drive the CRM workflow, follow up with Team on each lead/opportunity from delivery to final sign off and update status of orders
  • Provide support to the team with all customer deliveries and customer escalations
  • Assist Commercial Team with day to day reporting as required, support of gathering data analysis from CRM.
  • Assist in managing 'Sales Inbox' and responding to Sales queries and Stats requests.
  • Assist Aurora Commercial and Contracts Manager in preparing customer quotations and proposals
  • Support ACC Manager with contracts negotiation process with clients and suppliers. Ensuring the correct contract detail is captured, in terms of Aurora's commercial and legal requirements.
  • Assist with the contract management process including liaising with the legal team and customer to monitor, manage and escalate contract progress. Support new customer set up process once contract approved.
  • Update and maintain contract control trackers which manage contract status.
  • Support ACC Manager in the management of budget for external legal, processing SRF's with Legal for approval and payment.
  • Assist the ACC manager in the preparation of tender documentation, tender appraisal, and tender review, to ensure the effective implementation of the GNI Procurement Policy, engaging with Supply Chain to ensure all internal processes are followed for Supplier Contracts.
  • Support the Aurora team in development of new Aurora process and procedures and reviews on existing.
  • Assist ACC manager in Regulatory responses by supporting information gathering and submitting responses,
  • Support ACC Manager on various Marketing drives to promote Aurora. Implementation and follow up of customer surveys.
  • Various Administrative duties, setting meetings, meeting meetings, co-ordinating and organisation for attendance at events/conferences.
  • Other duties may be assigned from time to time, such as managing Data Centre/Co-location and Customer Access requests and Permit applications, the planned works schedule. As well as supporting in folder development and compiling as laid data.

Skills & Experience:

  • Diploma in Business or similar discipline
  • Strong analytical skills with high level of computer literacy is desirable - Excellent Excel, Word. PowerPoint etc
  • Strong communication (both verbal and written) is a key skill in the role as there are many stakeholders.
  • The right attributes for the role should be motivated, keen to improve and look for better ways of working, work independently and report on progress regularly
  • Excellent organisational ability, have the ability to work on multiple projects at the same time and meet agreed deadlines.
