Client Support Specialist

Community-Minded Enterprises is seeking a Client Support Specialist to play a vital role in supporting individuals entering our Behavioral Health and Recovery programs.
This is more than an administrative role; it's the front door to care. You'll guide clients through the admissions process, ensure that records and paperwork are accurate, support scheduling and follow-up, and serve as the welcoming face of our program. Your work will directly impact the continuity of care for people on the path to healing.
What You'll Do
- Guide new clients through the admissions process with compassion and clarity.
- Conduct intake interviews, verify insurance eligibility, and set up electronic health record (EHR) files.
- Schedule and reschedule appointments, ensuring clients feel supported every step of the way.
- Complete, organize, and track paperwork such as applications, releases, vouchers, and program-specific documentation (GIPRA, Agency, FCS, BHA).
- Maintain confidentiality in alignment with HIPAA and agency policies.
- Ensure accuracy in records to support billing and reimbursement.
- Serve as the welcoming front office presence for Recovery and Support Services.
- Act as a liaison between clients, clinicians, and staff to ensure smooth communication and seamless transitions in care.
- Keep clients informed, supported, and connected during wait times or schedule changes.
- Manage appointment scheduling and follow-up for behavioral health services.
- Collaborate with clinicians to keep calendars organized and full.
- Proactively monitor no-shows, cancellations, and follow-ups to maximize client engagement.
- Work with billing and data quality staff to ensure documentation supports accurate insurance billing.
- Help reconcile accounts, resolve discrepancies, and address insurance inquiries.
- Run reports to identify potential issues and flag them for correction.
- Participate in staff meetings, trainings, and community events.
- Flex into evening or weekend hours as needed.
- Take on additional responsibilities that strengthen our team and services.
What We're Looking For
- AA or bachelor's degree in behavioral health, recovery services, or related field (preferred).
- Experience in behavioral health, substance use recovery, or healthcare settings strongly preferred.
- Familiarity with Medicaid Managed Care, billing, and claims processing is a plus.
- Strong organizational and time-management skills.
- Ability to work independently with minimal supervision.
- Excellent communication and interpersonal skills—patient, empathetic, and client-centered.
- Comfort using electronic health record (EHR) systems and Microsoft Office Suite.
- Understanding of the recovery process and respect for individuals on their journey.
- Valid Washington State Driver's License, reliable transportation, and liability insurance.
- Ability to maintain confidentiality and uphold HIPAA standards.
