Engineering Office Coordinator

The Engineering Office Coordinator provides front office support to the Engineering Department, monitors communications from all departments regarding engineering functions, and dispatches engineering personnel to accomplish assigned tasks.

Qualifications

Required:

  • Associate degree (AA) or equivalent from a two-year college or technical school
  • Six (6) months of prior office experience
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook)

Preferred:

  • Previous engineering office experience

Essential Functions and Responsibilities:

  • Receives work requests by telephone or interoffice mail, assigns work request control numbers, enters department codes, and dispatches employees to perform specified jobs.
  • Organizes and schedules appointments.
  • Writes and distributes emails, correspondence memos, letters, faxes, and forms.
  • Prepares and reconciles monthly Engineering expense reports.
  • Processes invoices for payment.
  • Maintains supply inventory by checking stock levels, anticipating supply needs, placing and expediting supply orders, and verifying receipt of supplies.
  • Receives, sorts, and files manuals, parts lists, invoices, licenses, permits, and other correspondence.
  • Completes payroll in a timely manner and provides weekly reports on tardiness, late arrivals, etc., for tracking.
  • Completes assigned TMS work orders and submits them to the Facilities office for closure in TMS.
  • Performs other duties as assigned.
