Charlesgate Property Management is seeking a smart, organized, and proactive Resident Services Manager to join our growing team. This person is the primary contact for residents and the owner of all things related to the resident experience. They also contribute to the overall performance of the portfolio which includes financial performance, physical building maintenance, and risk management. You will work with staff maintenance technicians, outside vendors, and our project management team as needed for maintenance, repairs, and capital projects. • Has extremely high standards and is committed to completing tasks the right way
Requirements:
• B.A. or other university degree
• 3+ years of experience in residential property management
Duties & Responsibilities (examples of but not limited to…)
Lease Renewals & Resident Retention
• Work in close collaboration with leasing, accounting, and property teams to optimize performance.
• Confirm renewal pricing in alignment with market conditions and ownership goals.
• Send renewal notices to residents and secure signed agreements within deadlines.
• Coordinate with the leasing team to ensure units are properly listed and marketed.
Delinquency & Collections Management
• Proactively follow up on delinquencies, ensuring timely rent collection.
• Coordinate with housing authorities on payments, lease compliance, and documentation.
• Finalize outstanding balances and send accounts to collections as needed.
• Accurately book bad debt and maintain financial records.
Lease Administration & Compliance
• Ensure all lease paperwork, charges, and pass-through fees are properly documented.
• Complete and verify move-out inspections, processing deductions accurately.
Resident Move-In & Transition Coordination
• Oversee the move-in process, ensuring all lease paperwork is finalized.
• Prepare and distribute move-in packets, ensuring a seamless onboarding experience.
• Coordinate key distribution and access setup for new residents.
• Handle on-call emergency service on nights and weekends (part of a rotation)
