Project Administrator

We are looking for a responsible Project Administrator to perform a variety of administrative and clerical tasks. Duties of the Project Administrator include providing support to our managers and employees, assisting in daily office needs and managing our company's general administrative activities.

Essential Duties and Responsibilities:

  • Assist PM with schedule monitoring and maintenance.
  • Assist PM with budget monitoring and maintenance.
  • Change order pricing.
  • Manage field engineering/design issues.
  • Subcontractor/Supplier coordinating- submittals, RFIs, preconstruction meetings, scheduling.
  • Permanent material/equipment procurement (long lead-time items)
  • Generate and maintain procurement log.
  • Document control as built/Redline drawings.
  • Project closeout documentation.
  • Code invoices and timecards.
  • Organize and schedule appointments.
  • Plan meetings and take detailed minutes.
  • Write and distribute emails, correspondence memos, letters, faxes and forms.
  • Assist in the preparation of regularly scheduled reports.
  • Electronic document control including RFI, change order, submittal, and drawings logs.
  • Provide general support to the construction team.

Qualifications:

  • Proven experience as a project administrator or administrative assistant/office admin assistant.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, like printers and fax machines.
  • Proficiency in MS Office (MS Excel and MS Teams, in particular).
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task.
  • High School degree: additional qualification as an administrative assistant or Secretary will be a plus.

Computer Skills:

  • Experience with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.

Salary and Benefits:

  • $19 to $25/Hour depending on experience.
