Associate Director Of Proposal Operations
The State and District Partnerships (SDP) team at College Board is a dynamic and high-energy group dedicated to expanding opportunities for students by collaborating with educators in high schools, school districts, and state departments of education. Our team is committed to promoting the use of College Board programs and services, including the SAT Suite of Assessments, Advanced Placement (AP), and BigFuture. Our division is relentless in our pursuit of increasing the number of students who have access to these programs and ensuring our partners have the supports they need to implement them effectively.
Within SDP, the Proposal Development team is dedicated to managing and optimizing the proposal process, ensuring that our submissions are of the highest quality and meet all client requirements. We work closely with program subject matter experts (SMEs), sales teams, operations, technology, and other stakeholders across the organization to maintain a robust content library and streamline the proposal process.
The Associate Director of Proposal Operations plays a critical role in maintaining College Board's proposal content library, ensuring the quality and accuracy of submissions, and supporting staff training and documentation. This role is also responsible for monitoring procurement websites to identify new opportunities, ensuring the organization is aware of every relevant RFP published across the country. Additionally, the associate director will deliver key performance reporting to stakeholders and analyze data trends to inform continuous improvement.
This is a highly collaborative and operationally focused role that combines content strategy, process refinement, system management, and stakeholder engagement to help drive success in competitive proposal environments.
In this role, you will:
- Content Management in Loopio (40%)
- Organize, maintain, and categorize content within the content library.
- Manage the SME review process after each RFP submission and throughout the year based on the team's review cadence.
- Conduct quality assurance checks to ensure accuracy, clarity, and eliminate duplicate or outdated content.
- Confirm that the system selects the appropriate content for each RFP.
- Manage user access and permissions.
- RFP Opportunity Monitoring (25%)
- Monitor state procurement websites regularly to identify new RFP opportunities.
- Maintain and update login credentials for state and district procurement portals.
- Training and Documentation (15%)
- Develop and deliver training for SMEs and staff on the proposal management system.
- Maintain and revise RFP-related training documentation as needed.
- Reporting and Operations Administration (20%)
- Schedule and facilitate cross-functional meetings (e.g., pinch points, steering committees, kick-offs).
- Keep Salesforce opportunity records and reporting current and accurate.
- Maintain the internal RFP resource landing page and shared mailbox.
- Track contract expiration dates, including ACT and internal timelines.
- Prepare and distribute quarterly, year-end, and ad hoc reports.
About You
- Experience in managing content libraries and using content management systems. Experience with Loopio is preferred.
- Strong organizational and categorization skills.
- Excellent proofreading and process documentation.
- Familiarity with Salesforce.
- Ability to independently resolve challenges and find innovative solutions.

- Ability to manage multiple tasks and prioritize effectively.

About Our Process

- The hiring range for this role is $56,000–$95,000. Your exact salary will depend on your location, experience, and how your background compares to others in similar roles at the College Board.
