Job Description

The Student Employment Services Manager administers all aspects of student employment experiences and supporting systems for the Colby student employee population, from onboarding, placement, termination, and verification of employment history. The individual in this role will also be responsible for fostering effective relationships with supervisors, employees, applicants, and outside contacts. Requiring significant database maintenance (e.g. Workday) and interaction with internal (e.g. prospective students and families; hiring managers/supervisors; faculty and staff) and external constituencies (e.g. prospective students and families; community partners), this position reports to the Director of Recruitment and Hiring. This position also plays an essential role in summer hiring and employment.

Essential Functions and Responsibilities:

  • Execute a comprehensive student employment program to ensure students have a rich experience while working during their academic careers.
  • Assist students with the new employee onboarding process including processing new hire forms (e.g. W-4s, I-9s) and creating employee records in all relevant payroll and HR systems.
  • Communicate and advise students, parents, and the College community regarding the student employment program, its policies and procedures.
  • Serve as an initial contact for Student Employment, managing and responding to in-person, email, and phone inquiries. Interface with a variety of departments to resolve student payroll and employment issues.
  • Establish and maintain student files and records which contain confidential information. Ensure quality control of records. Compile data for special projects, studies, or reports as needed. Respond to employment verification requests.
  • Assist with updating and maintaining the student employment website, promotional materials, and other educational resources for supervisors and students.
  • Maintain compliance with all applicable state, federal and local laws, regulations, and policies related to student employment.
  • Support the coordination of departmental special events including attending events to help oversee activities and ensure details are handled as planned.
  • Provide guidance and support to departments across campus to assist with their student employment needs.
  • Educate faculty and staff about the student employment services program.
  • Ensure student employment job descriptions are developed and maintained.
  • Promote student employment opportunities and coach students on the search process.
  • Work with supervisors to provide feedback on student and employee job performance as needed.
  • Perform additional duties as assigned; duties, responsibilities, and activities may change at any time with or without notice.

Qualifications:

  • Bachelor's degree, preferred
  • Experience in student employment services and related programming
  • Knowledge of HR policies, procedures, and best practices
  • High level of proficiency with technology, including extensive experience using Microsoft Office and Google Suite; experience with Workday systems preferred
  • High level of professionalism; strong organizational, communication, and writing skills
  • Excellent decision-making, problem-solving, and analytical skills
  • Strong attention to detail; accuracy with data entry and analysis is essential
  • Proven track record of collaboration and effectively working across the organization with a wide range of people
  • Excellent time management skills; deadline-driven with proven ability to manage changing priorities
  • Proven talent dealing with complex issues in a fast paced, multi-tasking environment
  • Experience providing oversight and direction to others, preferred

Key Relationships:

Reporting to the Director of Recruitment and Hiring, this position has significant interactions with students, faculty, staff, and other members of the campus community and outside constituencies.

Working Conditions/Physical Requirements:

General open office and campus environment.
