Customer Service Representatives are responsible for providing professional, accurate, and timely customer service by processing phone, email, and online orders; responding to customer inquiries in a thorough and timely manner; and supporting the sales efforts of outside sales representatives. The role also includes courteously answering and directing phone calls and promptly communicating any food safety or product quality concerns to the appropriate teams.
Essential Duties & Responsibilities Include (including, but not limited to):
- Receives and processes customer requests, including price quotations, purchase orders, order changes, adjustments, and cancellations, while maintaining professional and courteous customer interactions.
- Uses AS400/EView to retrieve customer information, stock availability, and purchase order status; updates customer purchase orders accurately and ensures appropriate codes are used for all system entries.
- Follows up on customer inquiries by reviewing system information related to deliveries; works closely with transportation and sales personnel regarding scheduled deliveries.
- Provides phone-based price quotations on price list and order book items.
- Maintains system records of active orders, including posting change notices, scheduling updates, and partial deliveries.
- Maintains a working knowledge of produce commodities and product availability to appropriately support customer needs.
- Remains informed of products and produce that are in stock or on order.
- Communicates customer needs and preferences to outside sales representatives in a timely and professional manner.
- Maintains effective and professional working relationships with customers and internal team members.
- Participates in special projects and administrative tasks as assigned to support business operations.
- Attends all Customer Service department meetings as scheduled and on time.
- Maintains an accurate and current call schedule, including assigned times, customer names, and phone numbers.
- Ensures all orders are submitted prior to established cut-off times.
- Maintains dependable attendance and punctuality; communicates and coordinates break times to ensure appropriate phone coverage.
- Performs other duties and responsibilities as assigned by the supervisor or manager.
Desired Skills & Experience:
- Demonstrated interpersonal, communication, and teamwork skills appropriate for a customer service environment.
- Ability to work accurately with numerical information; strong attention to detail and follow-through. Ability to receive orders verbally while entering information accurately into the order entry system.
- Proficiency with phone systems and PC-based applications, including Microsoft Office; Outlook experience preferred.
- Ability to manage multiple tasks, details, and priorities in a fast-paced environment.
- Demonstrated problem-solving and conflict-resolution skills.
- Effective time management skills with the ability to meet deadlines and adhere to work schedules.
- Reliable and dependable attendance and punctuality.
- Ability and willingness to observe and follow established safety procedures and report potentially unsafe conditions.
- Retail and/or wholesale produce experience preferred.
- Proficiency in Spanish language a plus.
