Real Estate Services Coordinator

As a CBRE Real Estate Services Coordinator, you will be responsible for providing essential support to our property management team, ensuring seamless operations and exceptional customer service for tenants and vendors. You will be an ambassador on-site, serving as a key point of contact and proactively assisting wherever needed to support the team. This is an onsite position located in Wichita, KS, supporting a single medical office site.

This role is integral to the Property Management job function, which focuses on operating buildings effectively on behalf of our clients.

What You'll Do:

  • Document meeting proceedings by capturing comprehensive notes.
  • Provide versatile administrative and operational support to the team, adapting to diverse needs.
  • Represent CBRE as a professional on-site ambassador and primary liaison, fostering positive relationships.
  • Process work orders and contribute to minor tracking initiatives.
  • Manage client and internal team communications, ensuring prompt responses to calls and emails.
  • Collaborate with building engineers and vendors to coordinate essential maintenance and operational activities.
  • Oversee calendar management for events and PTO, and facilitate timely project completion through proactive follow-up on updates.
  • Develop and distribute the quarterly newsletter, leveraging existing templates and collaborating with the team on portfolio-related content.
  • Execute data entry and documentation tasks with precision and efficiency.
  • Leverage Microsoft Office Suite and other relevant software to optimize task completion.
  • Support budgeting processes through accurate data management and reporting.
  • Provide exceptional customer service through direct client interactions.
  • Generate and retrieve internal lease administration documents and reports, including lease abstracts, to support leasing activities.
  • Participate in lease administration functions, including setup, modifications, and reporting.
  • Facilitate invoice processing by inputting data into the accounting system and forwarding original documents for payment.
  • Conduct rent collection communications and tenant outreach as permitted.
  • Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.
  • Impact through clearly defined duties, methods, and tasks are described in detail.
  • Deliver own output by following defined procedures and processes under close supervision and guidance.

What You'll Need:

  • High School Diploma or GED with up to 2 years of job-related experience.
  • Ability to follow basic work routines and standards in the application of work.
  • Communication skills to exchange straightforward information.
  • Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
  • Strong organizational skills with an inquisitive mindset.
  • Basic math skills. Ability to calculate simple figures such as percentages, discounts, and markups.
  • Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future.
