Staff Accountant - Gallagher Services

The Staff Accountant prepares, analyzes, and maintains accurate financial records and reports for assigned programs, ensuring compliance with internal policies and external regulations. Catholic Charities of Baltimore is currently seeking a Staff Accountant, who will prepare, analyze, and maintain accurate financial records and reports for assigned programs, ensuring compliance with internal policies and external regulations. Colleagues will actively collaborate with program staff, ensure timely completion of audits and budgets, and proactively communicate to address issues and meet deadlines. The position requires strong attention to detail, accountability, and initiative in identifying and resolving financial discrepancies. The work schedule is Monday – Friday, 9:00am – 5:00pm.

JOB DUTIES & RESPONSIBILITIES:

  • Prepares accurate and timely financial statements, including the calculation, write-up, and posting of all journal entries, ensuring all documentation is complete and audit ready.
  • Reviews financial statements for compliance errors and budget variances, takes corrective action by posting necessary adjustments, and proactively informs the supervisor of any significant discrepancies.
  • Assists in the preparation of annual budgets and mid-year projections for assigned programs, ensuring inputs are complete, well-supported, and submitted on schedule.
  • Conducts periodic visits to assigned programs to maintain familiarity with operations and to verify the accuracy and integrity of financial data.
  • Prepares and delivers requested documents and schedules for internal and external audits in a timely and accurate manner, ensuring audit readiness and full transparency.
  • Establishes and maintains clear and responsive communication with the supervisor, program staff, and external stakeholders, following through on action items and ensuring clarity across teams.
  • Keeps the supervisor and other relevant staff informed of exceptions, follow-up actions, and the status of all accounts, demonstrating accountability and proactive issue management.
  • Meets all internal and external deadlines, prioritizing workload and communicating early if adjustments are needed.
  • Performs other duties as assigned.

PROGRAM SPECIFIC DUTIES:

Gallagher Services:

  • Manages personal use fund accounts (PUFs) by monitoring the revenue and expense entries coded to them and taking steps to ensure the PUFs are kept at balances that will not jeopardize people's entitlements; distributes monthly PUF balance report to program leadership with relevant commentary.
  • Manages Maryland ABLE accounts and tracks and monitors special needs trusts, life insurance and burial accounts when applicable; involves processing deposits to and withdrawals from such accounts. Tracks wage and bank account information for applicable people supported; reports related information to external stakeholders as required.
  • Assists the Disability Entitlements Specialist in completing applications and renewals for HUD, Medicaid Waiver, Social Security and SNAP if needed.
  • Screens credit card statements and receipts prior to input by Accounts Payable; helps Accounts Payable with coding of pharmacy, medical, and Xfinity bills.
  • Maintains accurate and up-to-date documentation of Gallagher accounting procedures and workflows to ensure consistency and accuracy.

EDUCATION & EXPERIENCE REQUIREMENTS:

  • Bachelor of Science in Accounting or Finance.
  • One (1)-year relevant experience.
  • An equivalent combination of education and experience may be considered.
  • Basic knowledge of accounting processes, regulations, and procedures.

  • Requires proficiency in using computer systems and software to perform job function, including but not limited to, basic Windows PC, web browsing (i.e., Chrome, Internet Explorer, etc.), and Microsoft Outlook. Knowledge of other Microsoft Office applications, such as Word, Excel PowerPoint, Teams, and OneDrive is preferred.
