About the Clinical Administration Program

You will be part of a team that assists CASA's clinical team in managing referrals and schedules. You will help prepare group materials, coordinate evaluations, manage patient schedules and support with follow-up calls with families.

Job Details

Salary/Wage range: $23.34 to $27.58 per hour Shift structure: Monday to Friday, 7.25 hours per day Primary location: CASA Calgary, remote Union: In-scope Classification: Administrative Support II FTE: 1.0 Status: Temporary until June 1, 2026

About the Role

The Program Support Specialist provides comprehensive assistance to meet the needs of the program area including administrative and clinical support, staff scheduling, supply ordering and program intake.

The Program Support Specialist Will:

  • Have a basic understanding of external crisis supports.
  • Understand the referral process.
  • Complete appointment bookings and confirmation calls.
  • Register new patients.
  • Liaise with couriers and manage interoffice mail/external mail.
  • Organize supplies, inventory and ordering.
  • Manage patient appointments and schedule in-person meetings, weekly case conferences and parent groups.
  • Take minutes for team meetings, case conferences and leadership meetings.

Knowledge, Skills and Abilities

  • Excellent verbal and written communications skills.
  • Excellent customer service skills including a patient, respectful and gentle demeanour in dealing with patients. Must maintain positive relationships with staff and the public.
  • Pleasant, courteous and professional telephone manners.
  • Conflict resolution skills to deal effectively with challenging phone calls.
  • Ability to transcribe information from Dictaphone equipment is an asset.
  • Able to complete assigned duties with minimum supervision.
  • Excellent organizational skills, strong initiative and ability to multitask.
  • Attention to detail and ability to maintain accuracy while multitasking or working under pressure.

Qualifications and Experience

  • High school diploma.
  • A medical office assistant certificate and/or a diploma in business administration is an asset.
  • Minimum of two years related administrative experience in a medical office setting.

Conditions of Employment

  • A satisfactory Criminal Records Check with Vulnerable Sector Search and Child Intervention Check. This would be the financial responsibility of the successful candidate.
  • Ability to pass and maintain Therapeutic Crisis Intervention (TCI) certification (training provided by CASA) as well as physical ability to perform all interventions.

Working Conditions

  • Valid driver's license and access to a reliable vehicle.
