Fleet Management Specialist

Responsibilities

Your responsibilities – with clear goals and real impact

For each of your tasks, there are three goal levels that help you to orient yourself and develop further:

  • Minimum Goal: This keeps the operation running – reliably and solidly.
  • Goal: This is how we imagine good, clean work in everyday life.
  • Exceed: Here it gets really strong – you bring extra pace, overview, and quality with you. We reward this with appreciation and, with consistent good performance, also with a bonus.

Manage Repair Orders

You control repair orders from entry to feedback to workshop, driver, and customer.

  • Exceed: All orders placed on the same day, actively followed up and documented
  • Goal: Orders are assigned and consistently cared for the same day
  • Minimum Goal: Orders assigned within 24h, feedback within 48h

Accident and Damage Control

You coordinate the handling of accidents – including workshop selection, appointment scheduling, and communication.

  • Exceed: All parties receive a concrete response within 2 hours
  • Goal: Response and coordination occur on the same day
  • Minimum Goal: First response within 24h, appointment agreement within 48h

Communication & Inbox Management

You process incoming emails and to-dos quickly, amicably, and completely.

  • Exceed: 100% of emails done the same day, 95% of them in under 2 hours
  • Goal: All open points in the inbox are worked on daily
  • Minimum Goal: Max. 5 tasks may remain open for the next day

Invoice Verification & Approval

You check repair invoices for plausibility and approve them – in case of questions, you engage in discussion with the workshop or customer.

  • Exceed: 100% of invoices checked within 24h, questions actively clarified
  • Goal: 90% of invoices checked and approved within 48h
  • Minimum Goal: All invoices processed within 3 working days, max. 1 question open

Data Maintenance & Status Messages

You document all operations in our tools and keep customers, workshops, and partners informed.

  • Exceed: 95% of status messages sent within 2 hours, 100% error-free
  • Goal: 90% sent the same day, at least 95% error-free
  • Minimum Goal: All messages within 24h, max. 2 small errors per week

Efficient Tool Usage

You use Outlook, Excel, and our fleet tools safely and quickly.

  • Exceed: You recognize optimization potentials and proactively introduce improvement suggestions
  • Goal: You work safely and independently with all tools
  • Minimum Goal: You complete your tasks reliably with basic knowledge and support

Qualification

Completed training in the car dealership or workshop (e.g. automotive mechanic, automotive salesperson, service assistant, etc.)

Experience with workshop processes, repair handling, and ideally invoice verification

Good knowledge of MS Office (especially Outlook & Excel)

Fast, structured, and independent working style

Friendly communication and technical understanding

Daily availability for a few hours – flexibly assignable
