Office Operations Specialist
Location: Hill AFB, UT (On-Site)
Canvas, Inc. is seeking a Sentinel Combined Test Force Office Operations Specialist supporting the 719th Test Squadron (719 TS). This position is to provide advisory and assistance services to the Air Force. This is a mid-level position located at Hill Air Force Base (HAFB), as part of the Intercontinental Ballistic Missile (ICBM) Combined Test Force (CTF), under the 804th Test Group (804 TG) affiliated with Arnold Engineering and Development Complex (AEDC).
Duties: Duties will include, but are not limited to:
- Mission Support Specialist Essential Job Functions:
- Primary POC as unit materiel manager:
- Execute demand processing and mission support
- Manage, administer and operate supply systems and activities
- Perform inventory stock control
- Plan and schedule material storage and distribution
- Primary POC for assisting CTF teammates with information technology (IT) issues:
- Liaison between CTF and program office IT branch
- Primary POC for managing and facilitating the unit's safety program:
- Train unit personnel on safety protocols/procedures
- Ensure compliance with safety regulations and standards
- Act as a liaison between the unit and the base safety office to address safety concerns and implement safety measures
- Assist the facility manager for CTF facility(s):
- Responsible for the care, custody, and protection of assigned real property
- Conduct quarterly safety inspections
- Submit work orders for issues requiring maintenance attention
- Conduct inventory management for office equipment
- Conduct light maintenance/cleaning duties as required to maintain safety and security of facility
- Assist with human resource activities:
- Conducts employee on boarding, new hire processing and off boarding
- Maintain a centralized personnel database tracking teammate's knowledge, skills, and abilities as well as training certificates, network access requests/requirements, and security requirements
- Assist with training activities:
- Track and maintain training records for Military, Government Civilians and contractor personnel
- Plan and schedule training and training venues
- Provide counsel and leadership to 719 TS and provide data-driven recommendations to squadron leadership and other stakeholders
- Work with 719 TS leadership and other stakeholders on long-range plans and strategies for growth
- Develop road maps to address upcoming changes in the operating environment
- Convene, collaborate and communicate regularly with cross-functional team to provide key information, ensure joint planning, coordinate activities and raise and solve issues and opportunities
- Draft and compile program information in response to assigned tasks to support monthly, quarterly and annual reports
- Prepare documentation as requested from information provided by others or that is self-generated
- Recommend and implement process improvements
- Analyze, organize, and prioritize work requirements to meet multiple deadlines while working in a fast tempo environment
- Execute work in a timely, accurate and efficient manner
- Personal and organizational interactions exhibit and foster cooperation, teamwork, enhance customer relations, and actively promote rapport with customers
- Verbal and written communications are clear, concise, and at the appropriate level
- Utilize resources effectively to accomplish mission, including ability to work effectively alone, unsupervised, or within a group
- Understanding and adhering to safety and security requirements
Requirements:
- Master's Degree in related field. Experience may be substituted for education with customer approval
- 10+ years of experience
- Experience working within a DoD organization
- Experience with Microsoft Suite of products (e.g. Word, Excel, PowerPoint, Teams, Access etc.)
Security Clearance: Must be able to obtain and maintain a Secret security clearance
Desired Experience:
- Master's Degree in related field
- 10+ years of experience
- Experience in working with executives and stakeholders
- Experience with project management, human resources, facility management, training or materiel management
- Ability to analyze and solve problems quickly
