Executive Assistant For Disney Entertainment Television

We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude to assist two Vice Presidents within Marketing for Disney Entertainment Television. The Executive Assistant will report to the VP of Marketing Strategy, with a dotted line to the VP of Media Strategy & Planning. The candidate should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, zoom and e-mail, coordinating meetings, calendars, making travel arrangements, and generally being a helpful resource to the executives. To be successful as an Executive Assistant, the candidate should be professional, polite, and attentive while also being accurate and able to multitask. They should always be prepared and responsive, willing to meet each challenge directly. Executive Assistants must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, administrative assistants should have a genuine desire to meet the needs of others.

Responsibilities:

Provide day-to-day administrative support for 2 Vice Presidents including, but not limited to, the following:

  • Manage schedule, calendar, and meetings by providing real-time scheduling support and preventing conflicts
  • Ability to tactfully manage executives' time, multi-task and communicate clearly and effectively with all team members
  • Handling office tasks, such as generating reports and presentations, setting up for meetings, and transcribe minutes from meetings
  • Screening phone calls and routing callers to the appropriate party
  • Anticipate the needs of the executive to ensure their daily demands can be met
  • Maintain polite and professional communication via phone, e-mail, and mail
  • Greet and assist visitors
  • Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations
  • Handle executives' mail and shipping requests, orders supplies/materials and process invoices (when necessary)
  • Schedule and manage set up for conference rooms, meetings, and video conferences as needed
  • In addition to administrative support, the Executive Assistant will handle departmental support for the Marketing Strategy team

Basic Qualifications:

1+ years of previous administrative experience on a high-volume desk

Knowledge of appropriate software including but not limited to: Microsoft Word, Excel, Outlook, PowerPoint, Keynote, Google Workspace, Zoom and Adobe Acrobat

Maintain standards of strict confidentiality with respect to all matters and documents

Ability to make independent decisions when handling sensitive and confidential information, while exercising good judgment and discretion when executive is out of the office

Extremely detail oriented and organized, with a strong ability to manage multiple high priority projects and appropriately prioritize work

Team player - willing to work with other assistants and staff at all levels in support of the marketing team

Positive attitude and the ability to be proactive, resourceful, and flexible

Preferred Qualifications:

Candidate should have a strong passion for entertainment and should be familiar with a variety of industry concepts, practices, and procedures, especially in marketing

Experience in the entertainment industry, ideally in media or marketing

Ability to troubleshoot tech issues as they arise

Experience using Airtable

The hiring range for this position in Burbank, CA is $53,300.00 to $71,300.00 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
