Customer Service Representative Spare Parts

The Customer Service Representative Spare Parts is responsible for managing customer inquiries and sales orders related to spare parts for Seamers. Operating in an international environment, the role involves daily interaction with customers, technical teams, and internal departments to ensure efficient, accurate, and customer-focused service.

Responsibilities:

  • Handle customer inquiries and orders related to spare parts via email and digital systems.
  • Maximize sales opportunities for replacement parts for the machines we support.
  • Meet and exceed sales goals set by the business.
  • Provide front line customer contact through proactive communication.
  • Process spare-parts quotations in the ERP system, in line with customer requirements, in a fast, efficient, professional manner
  • Process orders accurately in the ERP system
  • Communicate proactively with customers regarding availability, lead times, and order status
  • Collaborate with technical teams and service team to correctly identify spare parts and suggest alternative solutions
  • Assist with spare-parts complaints, returns, and post-sales issues in coordination with Quality and Service departments
  • Follow up on outstanding opportunities with a sense of tenacity.
  • Report on sales quotations, enquiry levels, customer needs and expectations.
  • Work collaboratively with all areas of the business to provide world class levels of customer service
  • Perform system entries and updates as required, ensuring data accuracy and traceability

Requirements:

  • Diploma or university degree (preferably in mechanical, management, or linguistic fields).
  • Previous experience in customer service or inside sales roles, ideally in industrial or machinery sectors.
  • Basic knowledge of mechanical components and spare parts sales processes (nice to have)
  • Proficiency in Microsoft Office (Excel).
  • Fluent in English (B2/C1 level); additional languages are a plus.
  • Strong problem-solving skills, attention to detail, and customer orientation.
  • Ability to work in a team and manage priorities in dynamic environments.
