Administrative Coordinator – Tenant Services

Under the supervision of the Director of Administrative Services, the Administrative Coordinator – Tenant Services ensures the administrative follow-up of departures, terminations, and lease transfers, while maintaining effective communication with tenants and internal partners. This position requires administrative rigor, good knowledge of rental processes, and the ability to manage multiple files simultaneously.

Main Responsibilities

  • Manage the email inbox and phone calls for the administrative department (ADMIN).
  • Tenant Departures Management
    • Record compliant departure notices in the system and Yardi.
    • Inform clients when departure notices are not compliant.
    • Verify that departure notices contain the required information.
    • Ensure that all tenants mentioned in the lease have submitted a departure notice.
    • Perform necessary follow-ups regarding N1 notices and certificates of missing services.
  • Lease Termination Requests
    • Complete lease termination request forms.
    • Inform the client of the decision and provide them with the appropriate procedures.
    • Update the lease termination tracking table.
  • Transfer Requests
    • Analyze transfer request files.
    • Fill out the transfer request form.
    • Submit the request for pre-approval.
    • If the request is accepted, coordinate an inspection with the manager.
  • Addition or Removal of Names on Lease
    • Receive and analyze requests for adding or removing names.
    • Prepare and have the required documents signed.
    • Perform administrative follow-ups and update records in Yardi.
    • Inform stakeholders of lease modifications.
  • Hydro-Quebec Responsibility Management
    • Check upcoming departures and indicate in the Hydro-Quebec portal that the company is taking responsibility for the accounts.
    • For buildings or units not registered in the portal, complete the required form, have it signed by Isabelle, and email Hydro-Quebec.
    • Receive responsibility notices and ensure they do not concern hasty departures (SKIP).
  • Proof of Residence
    • Provide proof of residence to tenants.

Requirements

  • Mastery of Yardi software, or ability to learn quickly.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple files simultaneously with rigor and organization.
  • Team spirit and ability to collaborate with various internal and external stakeholders.
  • Bilingualism required
