Experience Centre Operations Specialist

This position will use their organizational and admin savvy skillset to support the Country Manager and any leaders travelling to the Experience Centre. The Ops Specialist will be the go-to person on all things admin to ensure smooth operations of the Experience Centre as well as supporting events and other projects as needed.
Responsibilities include but are not limited to:
- Provide daily operational & administrative support to Country Manager and leadership team including diary management / scheduling of meetings.
- Plan and book travel for Senior Leaders and Completion of their monthly expense reports.
- Assist Leaders when travelling to the Experience Centre and needing ad hoc appointments.
- Prepare presentations and briefing packs for key events & meetings.
- Assist and actively participate in the planning, execution, activations, coordination & logistical support of company events/team activities.
- Work alongside the sales, marketing & training teams to develop creative event formats, agendas, speaker lists, invitee lists, and event materials.
- Liaise with vendors, exhibitors, and stakeholders during the event planning process to ensure everything is in order.
- Assess an event's overall success and submit findings.
- Find the appropriate vendors and manage them based on quality / cost / service.
- Maintain a log of in-house inventory/supplies and manage any building-related tasks.
- Coordinate and executive Health & Safety activities in the country, as per H&S plan.
- Ensure that general Experience Center operations run smoothly, including stock management.
- Coordinate the maintenance activities of the facility as required (work with suppliers like electricity, water, security, cleaning company & other required services per country)
- Support IT team when needed (card system, assisting with deliveries or equipment collection etc.…)
- Be eyes and ears of the Country Manager in the office – close to the mood of the team to help CM resolve issues quickly.
Education, Qualifications, Knowledge, Skills and Experience:
- At least 3 years of similar experience required; BA degree desired.
- Highly organized and structured planner with experience in an admin or event role supporting executive leaders.
- Ability to work well in a fast-paced, team-oriented setting that requires a high degree of multi-tasking, teamwork and adaptability; flexible hours when required.
- Able to undertake project work and research tasks when requested.
- Exceptional organizational skills, anticipation, and attention to detail.
- Strong work ethic and the ability to maintain a high level of professionalism and confidentiality.
- Excellent skills in Microsoft Office Suite and building great presentations.
