HR Administrator
Position Description:
The HR Administrator is responsible for managing all travel and camp logistics for site employees, contractors, and visitors, ensuring efficient, accurate, and timely arrangements. In addition, this role provides general administrative support to the Human Resources department, assisting with clerical tasks, scheduling, documentation, and communication to ensure smooth day-to-day operations.
Responsibilities:
- Coordinate and manage camp accommodation and other company-provided housing (including houses and apartments) for employees, contractors, and visitors.
- Maintain accurate occupancy records and liaise with camp operators and property managers for assignments, arrivals, and departures.
- Arrange and oversee travel logistics including shuttle services, company transportation, rentals, and flights for FIFO/DIDO personnel.
- Maintain and distribute travel rosters and itineraries.
- Monitor and resolve travel disruptions, providing alternate arrangements and timely communication.
- Conduct regular inspections of camp facilities and company-provided housing to ensure standards of cleanliness, functionality, and service.
- Address and follow up on concerns related to accommodations or services.
- Prepare reports related to accommodation usage, travel statistics, occupancy rates, and recurring issues.
- Provide orientation and communication materials related to accommodations and travel for new hires and contractors.
- Provide clerical and administrative support to the HR team (scheduling, filing, data entry, correspondence).
- Assist in the preparation and distribution of HR communications, policies, and procedures.
- Support the coordination of meetings, training sessions, and events for the HR department.
- Maintain office supplies and assist with general departmental organization.
- Receive and distribute incoming mail and correspondence within the HR function.
- Perform other administrative duties as assigned to support the HR team.
Qualifications:
- Post-secondary education in Business Administration, Human Resources, Logistics, or a related field (preferred).
- Previous experience in HR administration, travel coordination, or property/housing management preferred
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent communication and interpersonal skills.
- High level of attention to detail and accuracy.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint); experience with databases or logistics software preferred.
- Ability to handle confidential information with discretion.
- Flexibility to respond to travel or camp issues outside of regular working hours as required.
- Customer-service oriented with the ability to interact effectively with employees, contractors, and service providers.
This is a residential position, requiring relocation or residence in the local community, on a 4 days on / 3 days off schedule with 10-hour shifts.
