As an Office Manager & Team Assistant in part-time (50%, initially for one year) you are the linchpin of our Berlin office's back office and are responsible for the appearance, operations, and equipment. Furthermore, you support the on-site team in the following activities:
As part of the Chief Happiness Crew, you always keep an eye on the mood and culture in the office and contribute positively to the atmosphere. You are the first point of contact for our guests, suppliers, and external partners – whether on the phone or at the reception: your friendliness leaves an impression. You also take care of the catering of guests and the preparation of our meeting rooms – you pay attention to details and create an inviting environment. You ensure order and well-being in the office: whether cleanliness, office walks or the functioning of the coffee machine – you keep everything in sight. You also take care of the ordering of office supplies and ensure that everything is at the right time in the right place.
You accompany new colleagues with heart during onboarding, organize, for example, the photo shootings and give new team members from the first day the feeling of being welcome. You also warmly welcome our new portfolio companies – for example by sending personal welcome packages. You are also on hand for any spontaneous requests around the office and administrative support – whether coordinating small repairs in the office, preparing name tags for events or other short-term to-dos.
You are there to support our colleagues in the use of our travel management tools and reliably assist them in the application for A1 certificates for their business trips.
You care about the maintenance of our systems: with great care you take care that our internal tools are always up-to-date and well structured – for example by creating new contacts and companies. You contribute with commitment and an eye for detail when sending out our Christmas cards and support from preparation to final dispatch.
You enjoy further developing the back office and processes – also across locations with colleagues in Switzerland.
Your profile:
The ideal candidate possesses high social skills and organizational abilities, can work independently and communicate well. He/she must be willing to work in a highly ambitious work environment.
Completed vocational training, ideally with a commercial focus
At least 2 years of experience in a similar position (or e.g. in the hotel industry, event management)
Quick understanding, sense of duty and organizational talent
Fluency in German and English in speech and writing
Good MS Office skills
