Job Description
The Operations Manager reports to the Association's Director of Community Management (DCM) and is responsible for oversight of the day-to-day operations of the community, including the maintenance and repair of the community facilities, and oversight of infrastructure updates and renovation projects. They are responsible for directing and administering the implementation of all preventative and on-going maintenance needs. They are responsible for oversight of infrastructure renovation projects, safety infrastructure programs and initiatives to ensure the safety of the community, its residents, guests, team members, and facilities.
Requirements
Duties and Responsibilities include, but are not limited to:
- Develop, maintain, and execute a cost-effective, state-of-the-art perimeter access and safety infrastructure, including regular equipment reviews and updates.
- Oversee the preservation and maintenance of common areas and facilities, including vendor management, contract oversight, and planning for future improvements.
- Operate under the direction of the DCM and Board of Directors, providing regular updates through written reports and participation in meetings.
- Collaborate with the DCM to manage and implement long-term perimeter access and safety plans, ensuring equipment is regularly inspected, documented, and maintained.
- Respond promptly to equipment outages, initiate work orders, and coordinate timely repairs and replacements with vendors.
- Identify opportunities for system enhancements and stay current with emerging technologies and equipment updates.
- Develop and issue RFPs to thoroughly vetted vendors, ensuring competitive and well-sourced bids for equipment replacement.
- Evaluate vendor proposals, make budget-conscious recommendations, and maintain strong working relationships with service providers.
- Manage gate access software systems, ensuring supplies are stocked, records are accurate, and the system meets community needs.
- Research and recommend software improvements, staying informed on industry developments.
- Administer the community's landscape contract, conduct weekly inspections, ensure compliance, and recommend enhancements based on evolving needs and regulations.
- Oversee the long-range road improvement plan, including inspections, signage upkeep, and storm drain maintenance, while recommending updates based on current standards.
- Manage community lakes and, with the Assistant Community Manager, oversee the California Village water feature.
- Maintain gate house buildings and facilities, including scheduled inspections and servicing of roofs, A/C units, generators, and cleaning contracts.
- Identify repair and maintenance needs, initiate service requests, and monitor project completion within budget.
- Order supplies within budget and provide recommendations for future budgeting.
- Assist the DCM in preparing the annual budget.
- Maintain detailed records of equipment maintenance, repairs, replacements, and inventory.
- Review and respond to correspondence from staff, Board members, homeowners, Club staff, DCM, and Desert Resort Management.
- Ensure proper registration and maintenance of all vehicles and golf carts in compliance with HOA and DRM procedures.
- Support Club safety and security infrastructure reviews and provide recommendations to the Club CEO.
- Lead various operational assignments as requested by Desert Resort Management, DCM, the Board of Directors, the Club CEO, and homeowners.

Knowledge and Skills
- Proven project management experience, preferably in security technology, including vendor evaluation, onboarding, and oversight.
- Familiarity with security equipment, landscape maintenance standards, and building maintenance and repair requirements.
- Goal-oriented with a commitment to continuous skill development and collaborative teamwork.
- Self-motivated, organized, and detail-oriented, while remaining open to guidance and feedback from colleagues.
- Professional in appearance with strong communication and report-writing skills.
- Skilled in building respectful, collaborative relationships with vendors, service providers, colleagues, Club staff, homeowners, and members.
- Experience with Homeowners Associations, Private Clubs, or other customer-focused environments, with an understanding of the expectations of high-end clientele and a dedication to exceptional service.
Education and Experience
- Minimum High School graduate or GED, AA degree preferred
- Minimum three (3) years office/clerical experience.
- 2 - 4 years of directly related or closely related experience
- Previous experience in the HOA industry or 2 - 4 years of Community Association or Club experience
- 1 – 3 years of Management and/or Supervisory experience
Certifications or Licenses:
- Industry Specific License preferred or willingness to obtain

Wage Range: $71k - $75k annually depending on experience.
