Event Operations Shift Supervisor

The Event Operations Shift Supervisor at Pechanga Arena is a part-time position responsible for overseeing the event operations team during assigned shifts, ensuring the successful execution of shows and event productions. This role involves managing setup, breakdown, and operational tasks as outlined in the Pechanga Arena Event Operations SOP Manual, while maintaining safety, customer service standards, and compliance with venue policies. The Shift Supervisor coordinates with the Operations/Event Manager, supervises event staff, and ensures a professional and safe environment for attendees, staff, and vendors.

Responsibilities

  • Lead and supervise event operations staff during assigned shifts, including days, nights, weekends, and holidays, as determined by event needs.
  • Assign tasks based on the Event Production Sheet and ensure staff adherence to set up and breakdown procedures for locker rooms, dressing rooms, event floor, concourse, and other areas on the premises.
  • Monitor staff clock-in/out procedures using the ABI Mastermind System, ensuring timely arrivals and compliance with break policies.
  • Verify staff compliance with dress code: black shirts, jeans, and closed-toe shoes.
  • Manage radio sign-out procedures and ensure proper use of communication devices.

Event Setup and Breakdown

  • Oversee setup of dressing rooms, ensuring items such as towels, tables, chairs, couches, fridges, and coat racks meet production notes and tour personnel requests.
  • Coordinate ADA and Premier Box seating setups, ensuring the correct placement of blue ADA chairs and high-top padded chairs in designated areas.
  • Supervise concourse stanchion setup for food service and merchandise locations, ensuring lines do not obstruct patron walkways.
  • Manage stage skirting and railing installation for house-built stages, ensuring secure attachment and proper storage of unused materials.
  • Ensure side stage fire lanes are properly marked with bright tape over cable ramps and secured with bike racks.

Safety and Compliance

  • Enforce safety protocols to protect attendees, staff, and vendors, minimizing risks and ensuring compliance with legal and regulatory requirements.
  • Ensure proper installation and testing of electrical cords and equipment to prevent tripping hazards, coordinating with engineering for power needs.
  • Supervise the placement of barriers, signage, and crowd control devices to manage attendee flow and prevent overcrowding on premises.
  • Conduct final site inspections post-event to ensure the venue is clear of hazards and all equipment is safely stored.

Customer Service and Communication

  • Maintain a friendly and professional tone when interacting with tour personnel, vendors, coworkers, and attendees, addressing needs clearly and concisely.
  • Act as the primary point of contact between event staff and the Operations/Event Managers, relaying information and confirming task completion.
  • Address last-minute changes or adjustments promptly, ensuring flexibility to meet tour requirements.

Equipment and Inventory Management

  • Oversee the cleanliness and proper storage of operational equipment, including furniture, ensuring items are sanitized and free of debris.
  • Maintain the Show Furniture Log, ensuring accurate daily inventory of items used by the tour.
  • Supervise the use and charging of driving carts, ensuring extension cords are disconnected during use and reconnected post-use.

Specialized Duties

  • For General Admission (GA) floor events, ensure proper placement of colorful tape or bike racks along fire lanes, maintaining a 6-foot clearance from the hockey dasher wall or as directed.
  • For hockey events, oversee event ops staff acting as Hockey Ice Crew, ensuring proper installation and cleanup of hockey nets, and enforce ice cleat usage with no horseplay on the ice surface.

Post-Event Responsibilities

  • Oversee post-event breakdown, including removal and storage of bike racks, tables, chairs, pipe and drape, carpets, stage railings, and skirting, and assist with floor chair racking.
  • Ensure all temporary setups are disassembled safely and stored in designated locations.
  • Conduct final checks with the Operations/Event Manager to confirm completion of all tasks before staff clock out.

Qualifications

  • Experience: Minimum of 2 years in event operations or a related field, with at least 1 year in a supervisory role preferred.
  • Skills:
    • Strong leadership and communication skills to manage diverse teams and interact with tour personnel.
    • Knowledge of event setup, safety protocols, and crowd management.
    • Proficiency in using scheduling and clock-in systems (e.g., ABI Mastermind).
    • Ability to handle high-pressure environments and adapt to changing event needs.
  • Physical Requirements: Ability to lift and move equipment (e.g., chairs, tables, bike racks), stand for extended periods, and navigate the arena, including ice surfaces, with proper safety gear.
  • Availability: Flexible availability for days, nights, weekends, and holidays, as dictated by event schedules.

Working Conditions

  • Work occurs in a fast-paced event environment at Pechanga Arena (3500 Sports Arena Blvd, San Diego, CA 92110), including indoor and outdoor areas.
  • Shifts vary based on event needs, with potential for long hours during event days, including days, nights, weekends, and holidays, as determined by event needs, game days, or dark days.
  • Exposure to loud noises, crowded spaces, and varying weather conditions in outdoor areas.

Reporting Structure

  • Reports to the Operations/Event Manager.
  • Supervise event operations staff and coordinate with other departments (e.g., engineering, security).

Other duties as assigned by the Event Manager or Leadership.
