Office Services Clerk

We are seeking an Office Services Clerk for our Phoenix office to provide a range of administrative and office services support. If you excel in a professional environment and enjoy performing a variety of office tasks, then we would appreciate hearing from you. This is an in-office position, and the work hours are 8:30 a.m. to 5:00 p.m., Monday through Friday. In this role, you will:

  1. Process daily mail; perform mail pickup and delivery at scheduled times. Maintain and supply the postage meter.
  2. Maintain paper levels in copiers and printers daily.
  3. Inventory and stock office and kitchen supplies.
  4. Prepare legal records for electronic scanning, such as taping loose sheets, removing staples, and verifying consistent client information. Perform the scanning and quality control/validation process for legal documents.
  5. Assist with large mailings.
  6. Operate photocopy machine for large copying and scanning projects, as needed.
  7. Call for photocopy machine repairs, as needed.
  8. Prepare records for off-site storage. Coordinate delivery and retrieval of files from off-site storage vendor. Assist with annual document destruction, shred files as necessary.
  9. Assist with lunch orders and event planning.
  10. Set up and break down conference rooms for meetings and events.
  11. Assist with outside deliveries.
  12. Provide client services/receptionist coverage as needed, including back-up for breaks.
  13. May be requested to perform other duties not listed above.

What we're looking for:

  • High School diploma or G.E.D. equivalent.
  • Prior reception and/or general office experience.
  • Ability to communicate effectively with all levels of personnel.
  • Ability to work independently and as part of a team.
  • Good attention to detail.
  • Good judgment in solving problems.
  • Ability to ascend/descend a ladder to service the lights and/or access records files and supplies.
  • Physical strength and agility to permit full performance of the duties of the position, including bending, walking and lifting up to 30 pounds.
  • Preferred: Prior mailroom experience and knowledge of office equipment such as photocopier, scanner etc.
  • Good knowledge of MS Office software applications.
