Join Our Team as a Remote Customer Support and Sales Specialist

We are looking to hire an additional team member to support our current operations during a key phase as we are integrating systems across the company and need to support our current team. As such the role will require attention to detail, great customer service, problem solving, flexibility and adaptability. As the system integration progresses, certain responsibilities will be removed and others added, as the role evolves over time.

Ad Operations and Asset Management

  • Manage ad trafficking, ensuring that all ad campaigns are correctly set up and running smoothly.
  • Coordinate with clients to gather and finalize ad assets, including banners and artwork.
  • Perform quality control checks on all ads received from designers to ensure accuracy and client satisfaction.
  • Maintain accurate records of all ad placements and client interactions.
  • Process agreement creation, upgrades/downgrades and cancellations.

Invoicing and Collections

  • Generate and send invoices to clients on a scheduled basis.
  • Apply payments received via credit cards, checks, and ACH in our accounting system (AdOrbit).
  • Send reminders for overdue payments and manage collections processes.
  • Assist in reconciling accounts and ensuring accurate financial records.
  • Process payments that bypass our CRM (payments via check or ACH).

Client Communication and Customer Service

  • Serve as the primary point of contact for clients regarding ad campaigns, billing inquiries, and general support.
  • Provide exceptional customer service, addressing client needs and resolving issues promptly, and perform upselling.
  • Maintain and update client contact information in our CRM.

Event Management Support

  • Assist with event organization.
  • Manage event invitation lists and guest research.
  • Coordination of event graphics.
  • Liaise with venue/vendors, speakers/panelists and VIPs.

Administrative Support

  • Assist with the preparation and distribution of digital and print magazine materials.
  • Manage mailing lists, including updating spreadsheets and preparing materials for mail merges.
  • Prepare sales and finance reports and other relevant documentation as requested.
  • Update and maintain company calendars, including scheduling reminders and coordinating with team members.
  • Generating reports across systems to generate and prepare reports for internal use.
  • Updating company scorecards.

Miscellaneous Tasks

  • Perform quality checks on QR codes and other digital assets.
  • Assist with the creation and management of social media graphics and marketing materials.
  • Provide support for business spotlight profiles, including adding content to the website.
  • Participate in the monthly magazine closure process, ensuring all materials are correctly filed and accessible.
  • Misc internal CRM support.

Requirements

  • Proactive attitude
  • Comfortable conducting basic/medium complexity research
  • Responsible — we work in a high-trust, high-accountability team.
  • Proven experience in ad operations, invoicing, collections, and administrative support.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to multitask and manage time effectively.
  • Proficiency in using Google Workspace, especially Google Sheets/Excel (Gmail, Docs Slides), and other relevant software.
  • Experience in the publishing industry is a plus.

Preferred Skills

  • Familiarity with Ad Orbit or similar CRM/advertising platforms is highly desirable.
  • Basic understanding of project management principles.
  • Basic understanding of publishing (print and digital) business principles.
  • Ability to create and manage mailing lists and perform mail merges.
  • Familiarity with quality control processes for digital and print advertising.
  • Experience with social media management and graphic design tools is a bonus.
  • Familiarized with Asana

What We Offer

- 40 hours per week (Monday-Friday, 9 am to 5 pm CST)

- Salary: TBD at offer
