Lead Client Service Representative

We are currently looking to hire a Lead Client Service Representative to join our team at Tarzana Pet Clinic in Tarzana, California. The Lead CSR is responsible for managing the front desk operations, supporting a team of CSRs, and ensuring an exceptional client experience from check-in to check-out. This role combines client-facing responsibilities with team leadership, training, and operational oversight. The Lead CSR will collaborate closely with the medical and management teams to ensure smooth day-to-day workflow and optimal client satisfaction.

Salary: $23.00 – 25.00 per hour, depending on experience, education, certifications, licensure, and location.

Schedule: 5/8's Monday – Friday + 5 hours on Saturday as needed

Who You Are

If you are that Lead Receptionist or Client Service Representative who is looking for an exciting, no day ever the same, fast-paced, fun, energetic veterinary hospital then we look forward to hearing from you!

  • 3 + years of clinical experience, in veterinary medicine or human dental office setting
  • 2+ years in a leadership or supervisor role, front office or reception area
  • High school diploma or equivalent required; additional training in management or healthcare administration preferred
  • Familiarity with Cornerstone preferred
  • Exceptional communication and interpersonal skills.
  • Technologically proficient and comfortable with practice management software and digital communication tools
  • Demonstrated ability to multitask and perform in a fast-paced, client-facing environment
  • Maintain accurate and complete patient and client records in the practice management system
  • Lead the CSR team by setting a professional and service-oriented example
  • Support hiring, onboarding, and ongoing training of CSR team members
  • Organize and adjust front desk schedules to maintain adequate coverage
  • Conduct performance feedback, coaching, and role development discussions in partnership with leadership
  • Manage service recovery when needed, addressing concerns with empathy and professionalism
  • Identify opportunities to improve workflows and implement process enhancements
  • Oversee CSR handling of billing transactions, payment plans, and insurance processing
  • Ensure records are up-to-date and documentation standards are met
  • Ensure a clean, safe and organized work environment
