Reports To: Director of Sales Operations

Location: Allegiance office or off-site. Mountain or Central times preferred. Monday-Friday 8:00-5:00.

FLSA Status: Non-Exempt

Position Responsibilities: Responsible for the smooth workflow associated with the RFP and Sales processes from intake through implementation. Collaborate and coordinate with Allegiance Sales Representatives, Cigna Local Market Teams, Manager, and Proposal Specialists to ensure successful and complete responses to requests. Responsible for project management of individual Sales and Renewal cases.

The incumbent is expected to communicate professionally with peers, supervisors, subordinates, vendors, customers, and the public, and to be respectful and courteous in the conduct of this position.

Essential Job Functions: Essential job functions include the following. Other functions may be assigned as business conditions change.

  • Project Manager for assigned RFPs
  • Receive, track and acknowledge receipt of all incoming RFP's and documents
  • Organize storage of related data, meeting notes, outsourcing requests, and follow-up needs
  • Maintain RFP database of open and complete proposals
  • Schedule and track tasks related to the RFP response process to meet RFP and internal deadlines
  • Subject network analytics requests to assigned Cigna contact
  • Submit Exception Review Requests on necessary cases
  • Establish response deadlines for internal outsourcing
  • Coordinate legal reviews with Allegiance and Cigna resources
  • Coordinate with Proposal Specialist to complete responses to questionnaires
  • Coordinate internal content outsourcing requests with Proposal Specialist
  • Coordinate with underwriting contact to develop strategic financial proposals
  • Organize necessary internal discussions to facilitate proposal completion
  • Organize and participate with departmental contacts as needed for planning, follow ups, scheduling and document preparation
  • Assist the departmental contacts with establishing response parameters for accuracy and consistency
  • Verify that all responses meet the parameters specified in the proposal
  • Incorporate all relevant information into proposal making sure the content is compliant
  • Prepare final RFP for on-time submission
  • Create and organize hardcopy submissions as necessary
  • Collaborate with Sales Representatives, Manager, Local Markets on follow-up items and respond within set deadlines
  • Coordinate with Sales Representatives, Manager, Local Markets on presentation materials
  • Track and update your manager on RFP's through the process
  • Track open cases throughout their lifecycle, updating internal departments on sales, losses, delays, etc.
  • Support transition of sold cases from the Sales process to the Implementation process, attending meetings and tracking items related to confirmation of sold products
  • Submit sold case information to internal contacts, tracking sold rates, performance guarantees, etc.
  • Analyze results periodically and inform manager of trends to improve outcomes based on organizational goals and priorities
  • Coordinate back up resources when there are conflicting deadlines, workload or priorities that require additional support and communicate that to manager
  • Maintain all electronic and/or hard copies of RFP files based on the companies retention policies
  • Contribute to the daily workflow with regular and punctual attendance
  • Establish and develop a "template" for standard responses and periodically update responses based on new organizational goals or priorities

Job Specifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Minimum Education: High school diploma or GED equivalent plus two years of college or graduation from a technical school with a concentration on Communication, English or Writing preferred.

Certification(s) Required: None

Minimum Experience: Two years experience preparing proposals, agreements or other documents in a highly organized administrative environment in a complex environment with a focus on project management. Two years experience in the health care or health insurance industry preferred.

  • High level of interpersonal skills to collaborate and work effectively with others
