Qualifications:
1. A high school diploma or GED with training in accounting and bookkeeping procedures.
2. Three years' experience is required; at least one of which should be comparable in duties and responsibilities to that of a Central Office Bookkeeper.
3. Must meet background clearance as specified by the Alabama statutes and State Board of Education regulations.
4. Professional Development Requirement: The employee will be required to complete the Alabama Association of School Business Officials (AASBO) Payroll/Personnel classes within five (5) years of the date of hire as a condition of continued employment.

Reports to: Chief School Financial Officer
Terms of Employment: Salary and benefits shall be paid consistent with the system's approved compensation plan.
Length of the year and hours of employment shall be those established by the system.
Required Duties and Responsibilities:
1. Demonstrate support for the school system and its vision, goals, and priorities.
2. Performs daily and monthly recording of accounting records, journal entries, reconciliations, and management reports pertaining to schools and central office.
3. Coordinates information between Central Office staff, principals, and school bookkeepers regarding Accounts Payable.
4. Assist with Accounts Payable functions in the Central Office and local schools.
5. Reconciles bank statements.
6. Responsible for maintaining vendor files and all documents relating to vendors.
7. Verify accuracy of all accounts payable checks prior to distribution.
8. Prepares annual 1099 forms for distribution.
9. Effectively utilizes all software systems related to accounts payable and payroll processing.
10. Assist in the preparation of local school budgets.
11. Conduct new employee orientation.
12. Enters new employee information in the software system after review and coding by the CSFO.
13. Submit new employee information to E-Verify and Alabama Department of Labor.
14. Audits payroll records and timesheets received from the local schools for accuracy prior to payroll input and reports any discrepancy to the CSFO.
15. Prepares and processes employee payroll accurately and in a timely manner.
16. Computes and balances monthly and bonus payrolls; submits reports to the CSFO for approval.
17. Assist in filing all payroll tax returns (FICA) and W-2's with the federal and state government in an accurate and timely manner.
18. Works with personnel and employees in resolving concerns regarding paychecks, direct deposits, insurance, retirement, and payroll deductions, etc.
19. Maintain the sick leave bank in adherence to state guidelines and local policy.
20. Insures adequate documentation for all payroll transactions.
21. Submits payments for payroll deductions after review by CSFO.
22. Completes verifications of experience and employment upon request.
23. Approves PD request in PowerSchool PD.
24. Assist with Teacher Certification questions and renewals.
25. Coordinate and support auditors on annual audit of financials.
26. Demonstrates initiative in the performance of assigned responsibilities.
27. Exhibits professionalism in the workplace and provides exemplary customer service to all employees and potential employees.
28. Maintains confidentiality regarding school/workplace matters in accordance with state and federal law.

32. Adheres to school system rules, administrative procedures, local Board policies, and state, federal, and local laws.

1. Proficiency in oral and written communications.

3. Knowledge of electronic, digital, technological financial systems involving microcomputer applications and financial software systems (spreadsheets, databases, word processing, and general accounting).
