Client Service Specialist

As a Client Service Specialist, you will serve as a key liaison between customers and the organization, providing timely and accurate information regarding products, services, and account management. Your role will involve order processing, troubleshooting, and collaborating with various departments to ensure the highest level of customer satisfaction. Strong technical abilities and exceptional attention to detail are essential for success.

Key Responsibilities:

  • Accurately input and confirm customer orders received via phone, email, or fax, utilizing advanced Microsoft Excel skills for order management and reporting.
  • Perform thorough data entry and maintain organized records to ensure accuracy across all customer transactions and communications.
  • Respond to customer requests for order adjustments and resolve product or service-related issues efficiently.
  • Communicate transportation requirements and order status updates to the logistics team and customers.
  • Track delayed orders and proactively provide delivery updates to clients.
  • Log customer feedback, complaints, and share information with internal stakeholders for prompt resolution.
  • Provide regular pricing updates and assist customers with queries regarding credits, shortages, and back orders.
  • Generate purchase orders for materials sourced from external vendors and address shipping inquiries related to case counts or weights.
  • Coordinate requests for additional products or samples and support sales representatives with research related to pricing, account history, or customer inquiries.
  • Input and manage orders across multiple distribution sites, ensuring clear communication with facility coordinators.

Requirements Qualifications:

  • High school diploma required; post-secondary coursework preferred.
  • Extensive experience using Microsoft Excel, including formulas, data analysis, and complex spreadsheets.
  • Proficient in data entry with a high degree of accuracy and attention to detail.
  • Strong verbal and written communication skills in English; Spanish language ability is a plus.
  • Competency in basic math, including percentages.
  • Dependable, well-organized, and able to manage multiple priorities.
  • Able to work independently and professionally, especially in fast-paced or high-pressure situations.
  • Comfortable collaborating with operations across various sites.
