Business Support Representative - Muscle Shoals, AL

Position Summary
RSI is currently recruiting an Administrative/Business Support Representative (BSR) for our client. The BSR requires good communications skills that exude a positive, customer-oriented attitude. The BSR is also responsible for document control and records management.
Primary Responsibilities
- Provides support for the daily operations of the areas to meet business needs as assigned by General Manager (GM).
- Reconciles/verifies credit card statements in CONCUR and prepares them for TSGM review and approval.
- Enter AAM requests for badges/E-keys and provide fingerprinting as needed.
- Manage FR clothing accounts when needed.
- Provide reporting of safety observations by person, TSC, and area.
- Budget actuals are reviewed every month with charges reallocated as needed. Additionally, periodic reports will be reviewed to ensure proper allocation of charges.
- Provide financial support for the TFO West, East and North area Managers, Support Staff and Field Staff. Research, financial analysis, and reporting. Analyzing data, providing information and options for decision makers.
- Research and analyzes financial data and resolve discrepancies.
- Track program capital and identify underruns for reallocation of funds and overruns so TSC's can adjust.
- Keys PRs and work orders in Maximo; PO and invoice approval being properly executed; Assist in the procurement of test equipment and ensure all invoices are submitted for payment.
- Assist staff with procurement and management of materials, goods and services.
- Monitors and coordinate inventories, external contracts, service agreements and procurement needs.
- Ensure purchase order and invoice approvals are being properly executed by all areas.
- Provide oversight and guidance for BSR C's to ensure proper protocol is being followed for procurement of materials and supplies.
- Serve as the Technical Contract Steward for TFO purchase orders.
- Assist Supply Chain in the preparation of contract documentation by ensuring the scope of work and technical details are clear and accurate.
- Work closely with vendors to ensure orders are handled timely and expedite as needed.
- Ensure all BSR's are up to date on FIA and CTS training. Maintain FIA and CTS training records; assist in coordination of instructor-led training.
- Review heavy equipment and vehicle inventory reports for any erroneous charges and duplications.
- Handle emergency switching contracts for approximately 50 participating LPC's.
- Maintain lease agreements with railroads, LPC's, and other entities.
- Provide leadership and guidance for BSR C's by keeping them updated on process/procedure changes, offering training, facilitating quarterly meetings, and day-to-day assistance.
- Train other BSRs in aspects of above job responsibilities.
- Identify BSR resources for responsibility transfer (heavy equipment and vehicle inventory review, emergency switching contracts, lease agreements) and recommend division of labor for organizational responsibilities (TFO Technical Contract Steward, etc)
Job Knowledge/Qualifications
Highly organized, motivated, and good at preparing status reports. Written and oral communications skills. Proficiency in MS Word, Excel and Outlook. Coordination and collaboration skills. Good interpersonal skills. Demonstrated skills in planning, organizing, researching, and evaluating business needs for assigned functional areas. Demonstrated competence in providing customer service.
Required Education and Experience
Administrative and records management experience. Demonstrated competence at Senior Professional Level. Experience in plant/organization systems, standards, and processes.
