Administrative Support Associate

The College of Liberal Arts is excited to recruit candidates for our next Administrative Support Associate for the School of Communication & Journalism who will provide administrative and general clerical support within an academic department for a broad variety of office and project support duties and tasks.

Essential Functions:

  • Performs multiple duties which are a mix of administrative and clerical in nature, which may include, but are not limited to data gathering, data management, correspondence, filing, calendar management, event scheduling, registration, mail distribution, answering the phone, website maintenance, and purchasing/ordering supplies.
  • Provides budget tracking and monitoring, payroll processing, travel/expense voucher processing, as well as other expenditure processing.
  • Advises faculty, staff, and students of standard policies or procedures.
  • Acts as a liaison to other departments, clients, and students on behalf of director.
  • Acts as a point of contact for purchasing or vendor/outside agencies.
  • May perform some administrative duties which may include, but are not limited to budget coordination, human resources administration (beyond payroll entry), recruitment coordination, preparation of reports/documents/presentations, or coordination of complex projects or events.
  • May also include but are not limited to scheduling classrooms, waitlist management, entering course information into AU student scheduling system, maintaining grades/registration, conducting teaching effectiveness surveys, contacting bookstores concerning textbooks, study abroad administration, facilitating departmental presentations, and administrative issues related to student academic or financial status.
  • Interacts with prospective students and parents/guardians.

Minimum Qualifications

Level I: High school diploma or equivalent plus 2 years experience in clerical and administrative support services.

Level II: High school diploma plus 4 years of experience in clerical and administrative support services.

Substitutions Allowed for Experience: Graduate degrees may be accepted in lieu of experience.

Minimum Skills, License, and Certifications

Minimum Skills and Abilities: Knowledge of office rules, procedures and operations that require previous training and experience to perform.

Minimum Technology Skills: None Required.

Desired Qualifications

Experience with:

  • AU systems (Banner, TigerBuy, People Admin)
  • Adobe Express
  • AUSOME scholarship administration
  • Building facilities management and submitting work orders
  • Planning department events
  • Coordinating school resources such as offices, labs, conference rooms and equipment

Salary Range

$33,150-$49,890
