We are looking for a Sales & Contracts Administration Manager to come onboard in our Training and Flight Operations Directorate in Judith's team: a team of 11 collaborators!

Your mission will be to contribute to customer satisfaction service by managing and coordinating orders with direct interfacing with Customer and in close collaboration with the sales, planning and logistics departments. You will act in compliance with processes, contractual rules and regulations in force. Your mission also requires regular interfacing with Finance and Sales Contracts Management functions and to be comfortable with contractual budget demands and follow-up and will be attentive to sales activities. You will demonstrate a customer-focused mind.

Orders management:

  • Managing the orders in compliance with contractual and regulatory rules
  • Checking the conformity of contracts / purchase orders with respect to the training delivered and commercial offerings
  • Update of commercial database of his/her portfolio: Order recording / invoicing (contractual / additional) within the SAP tool,
  • Managing payment rules and recovering down payment settlement in due time
  • Ensuring that all services have been properly ordered by Customers before the training starting date,
  • Ensuring that all services delivered are duly and properly invoiced on his/her portfolio
  • Follow-up contractual training and budgets (records/updates/reporting)

Customer support:

  • Managing customers' requests on administrative and on invoicing topics related to training
  • Solving simple or specific disputes in collaboration with the Commercial and / or the Finance Department
  • Being comfortable with customer's relationship to ensure a good level of communication

Transversal support:

  • Collaboration with internal interlocutors,
  • Supporting Credit Management Department actions on debt recovery,
  • Collaborating with internal stakeholders to annual turnover consolidation,
  • Managing Customers' account creation upon Sales managers' request,

Reporting:

  • Report on risky situations identified that may end in dispute, as such contributing to risk management
  • Weekly reporting on his/her portfolio
  • Contribution to the monthly meeting reporting on his/her areas of responsibility
  • Monthly report on Training contractual allowances balance per customer

About you:

  • Field of study: Commercial / Sales and Contract administration
  • Experience – 5/10 Years with a strong experience on customer relationships
  • Technical skills / knowledge: SAP, EXCEL (advanced level), ability to
  • Soft skills: Good communication skills, ability to integrate into an existing team, team spirit, ability to deal with stressful situations
  • Fluent in English and French (Italian is a plus)
