HR Generalist For Portugal & Spain

As HR Generalist for Portugal & Spain, you will act as the first point of contact for employees and managers on People Operations and HR Business Partner topics. You will own the local HR administration cycle, oversee payroll processes, and support employee lifecycle management — from onboarding to exit.

Given the specificities of our workforce (many young international employees relocating to Portugal), you will also play a critical role in supporting expatriates with administrative processes and ensuring a smooth employee experience.

You will work closely with the wider People team (Team lead People Ops, HRBPs, TA, etc.) to ensure consistent HR practices across the company while scaling processes for a fast-growing fintech environment.

Key Responsibilities

1. People Operations & HR Administration

  • Prepare, issue, and manage employment documentation (offer letters, contracts, addendums, exit letters) in compliance with local labour law.
  • Ensure correct and timely signature of contracts by management and employees.
  • Upload, track, and maintain employee data in the HRIS; ensure data integrity across systems (Airtable, HRIS, payroll tools).
  • Maintain employee personal files and ensure compliance with local requirements.
  • Act as first point of contact for HR queries via our Airtable ticketing system (leave, benefits, HR letters, verification requests, etc.).
  • Document and update HR policies, processes, and FAQ for employees.

2. Payroll & Benefits

  • Oversee monthly payroll processes for Portugal and Spain in collaboration with external providers.
  • Validate payroll data (new hires, terminations, salary changes, benefits, deductions) and ensure accuracy.
  • Monitor benefits administration, including health insurance and statutory contributions.
  • Work with Lead & HRBP on reporting and audits.

3. Onboarding & Offboarding

  • Coordinate end-to-end onboarding for new hires (system entry, paperwork, VISA, Security process)
  • Organize relocation support for foreign employees (visa processes, NIF/NISS, City Hall appointments, interactions with lawyers).
  • Maintain welcome documentation for expatriates (guides on administrative steps, tax information, healthcare, etc.).
  • Conduct onboarding follow-up check-ins and first months' feedback conversations.
  • Manage employee exits (documentation, HRIS updates, exit interviews).

4. HR Partnership & Employee Experience

  • Support the Senior HRBP in Spain & Portugal on business partnering needs.
  • Provide guidance to managers and employees on labour law questions and collaborate with Team Lead People Ops if needed.
  • Support employee engagement initiatives and feedback surveys.
  • Contribute to talent retention initiatives in the context of high turnover.

5. Process Improvement & Scalability

  • Identify opportunities to automate and streamline People processes using HR systems.
  • Contribute to system testing and rollout of new processes/tools.
  • Ensure consistent documentation of HR processes for scalability.
  • Share best practices with the wider People Team; collaborate cross-functionally (Talent Acquisition, Payroll, L&D, Operations).

What We're Looking For

Experience:

  • Minimum 4-5 years as HR Generalist or in a People Ops role
  • Mandatory experience in payroll management (preparation, validation, provider interface)
  • Experience in Portuguese labour law (contracts, terminations, legal obligations)
  • Experience in Spanish labour law is a plus
  • Experience managing expat profiles / VISA processes is strongly valued
  • Experience in an international and/or startup / scale-up / fintech environment is a real plus

Soft Skills & Key Traits:

  • Solution-oriented: doesn't get stuck on problems, proposes alternatives
  • Comfortable with numbers: payroll, reporting, audits – strong numerical accuracy required
  • Logical & SMART mindset: knows how to prioritise, structure, and anticipate
  • Meticulous / detail-oriented: zero margin for error on payroll and contracts
  • Process & scalability mindset: enjoys documenting, automating, and improving
  • At ease with modern tools: no-code automation, AI, HRIS, collaborative platforms...
  • Strong communicator: interfaces with managers, employees, providers, lawyers, and the People team
  • Autonomous & proactive: able to own their scope without micro-management
