CPT-10297 Property Management System Admin Clerk / Customer Experience Support

Independent Contractor – Real Estate/Business Support - Junior/Senior/Advanced Level (Remote).

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

Client is seeking a highly organized and detail-oriented Virtual Assistant to support in managing internal Vantaca software operations, coordinating service tickets, conducting data audits, and supporting Customer Experience workflows. This role serves as the first line of support for internal Vantaca-related requests and ensures timely, accurate administrative execution across multiple departments. The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Contractors will be required to provide services that align with the following client tasks:

  • Vantaca Ticket Support & User Management
    • Serve as first point of contact for internal Vantaca service tickets.
    • Respond to, resolve, triage, or escalate issues appropriately.
    • Set up and configure Vantaca user accounts, access levels, and portfolios.
    • Monitor action items and system performance for ongoing accuracy.
    • Coordinate directly with Vantaca Support on escalated or complex issues.
    • Follow up on outstanding items to ensure timely resolution.
  • Data Audits & Reporting
    • Conduct data audits in Vantaca during Community Manager transitions.
    • Produce executive summaries for regional leaders to support retention planning.
    • Perform data validation and accuracy checks in Vantaca and SharePoint.
    • Assist with tracking and processing insurance policy action items.
  • Administrative & Cross-Functional Support
    • Communicate with coworkers and clients to facilitate Vantaca software use.
    • Maintain organized documentation of ticket activity, audits, and reports.
    • Support the Customer Experience team with ongoing tasks and special projects.
    • Provide light training or internal guidance on Vantaca features as needed
  • Applicants from the Philippines only.

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

The Contractor must demonstrate proficiency in the following, depending on the Client's requirements:

  • Experience in administrative support, customer service, or workflow systems.
  • Strong organizational skills and exceptional attention to detail.
  • Experienced with workflow management platforms and Microsoft Office Suite.
  • Strong time management skills and the ability to multitask effectively.
  • Working knowledge of Vantaca preferred (not required but highly valuable).
  • Strong IT aptitude; able to learn and troubleshoot new systems quickly.
  • Excellent written and verbal communication skills.
  • Ability to coordinate with cross-functional teams and stakeholders.

Workflow / Ticketing - Vantaca (preferred), internal ticket platforms

Productivity - Microsoft Office, SharePoint

Communication - Email, chat tools (MS Teams), internal platforms

Reporting - Excel, SharePoint, Vantaca reporting tools

Contracted Hours per Week: 40 Hours

Scheduled Working Days: Monday through Friday

Daily Working Time: 8:00AM to 5:00 PM EST.

Note: The Company will make reasonable efforts to align the Assigned VA's schedule with the Client's preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

Contractors will operate under a Master Services Agreement and a Statement of Work

All compensation is processed through 20four7VA according to the terms of the engagement
