Independent Contractor – Executive & Sales Development Va/Business Support/Senior Level (Remote).
20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.
We are seeking an Executive & Sales Development Virtual Assistant who can operate as both a Personal Executive Assistant (est. 30%) and a Sales Development Researcher (est. 70%), supporting the CEO's daily operations and business development efforts. The ideal candidate is fluent in English (bilingual in English and Portuguese is a plus), proactive, research-oriented, and highly adaptable, capable of handling both administrative duties and strategic tasks such as lead research, CRM updates, and personalized outreach preparation. The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.
Contractors will be required to provide services that align with the following client tasks:
Sales Development & Lead Management (Approx. 70%)
- Manage post-conference leads by accurately updating prospects in the CRM, adding detailed notes, and scheduling follow-ups.
- Conduct ICP (Ideal Customer Profile) research to identify 50–100 potential leads per campaign or outreach cycle.
- Research each lead to find personalized details (press releases, interviews, recent achievements) for use in customized outreach.
- Identify trigger events (funding rounds, company expansions, new product launches) to enhance outreach timing.
- Assist in drafting or coordinating personalized outreach emails or LinkedIn messages using the client's framework.
- Track outreach activities and maintain accurate CRM records of engagement and pipeline stages.
- Generate weekly reports summarizing leads researched, added, and contacted.
Executive Support (Approx. 30%)
- Manage and organize the CEO's calendar, ensuring accurate coordination of meetings, follow-ups, and event debriefs.
- Monitor and prioritize the CEO's email inbox, drafting replies and flagging urgent items.
- Coordinate travel and conference logistics when required.
- Transcribe and summarize meeting or call notes for easy review.
- Maintain internal organization through Slack and ClickUp task management.
- Provide concise daily task summaries and progress updates to the CEO.
Administrative & Operational Support
- Maintain and organize client and lead data within CRM systems.
- Assist with task management and process documentation inside ClickUp.
- Perform data cleanup, tagging, and automation trigger setup as directed by the CEO.
- Support creation of client-facing materials, including PowerPoint decks or presentations when needed.
Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.
The Contractor must demonstrate proficiency in the following, depending on the Client's requirements:
- Experience: Minimum 3+ years as an Executive Assistant, Sales Development Representative (SDR), or Marketing Operations Va.
- Industry Background: Proven experience in marketing, business development, or creative agency operations preferred.
- Technical Proficiency:
- Strong familiarity with AI-powered workspaces (Slack automations, ClickUp workflows, Gmail integrations).
- Hands-on experience with CRM systems (HubSpot, Salesforce, Pipedrive, or equivalent).
- Research & Analytical Skills: Exceptional ability to synthesize data, uncover company insights, and identify high-value prospects.
- Communication Skills: Excellent written and verbal English; must demonstrate professional, concise, and client-facing communication.
- Work Ethic: Detail-oriented, organized, and self-directed. Comfortable working in a fast-paced, AI-driven environment.
- Language: Bilingual fluency (English + Portuguese) is a plus.
- Proficient in ClickUp (task management and workflow tracking), Slack (daily communication and automation tools), Gmail/Google Workspace, CRM platforms such as HubSpot or Pipedrive, LinkedIn Sales Navigator (for ICP and outreach research), and AI productivity tools like ChatGPT or Notion AI.
Work Schedule:
- Contracted Hours per Week: 10 Hours (scalable to Full-Time as workload grows)
- Scheduled Working Days: Monday through Friday
- Daily Working Time: Flexible within 9 AM to 5 PM EST. (afternoon hours preferred)
Note: The Company will make reasonable efforts to align the Assigned VA's schedule with the Client's preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.
Terms of Engagement:
- Contractors will operate under a Master Services Agreement and a Statement of Work.
- This is not an offer of employment; contractors are not employees of 20four7VA or any client.
- All compensation is processed through 20four7VA according to the terms of the engagement.
