An exciting role in public service starts here! As the Receptionist/Office Support at Juvenile Court in Pima County, you'll keep the Court moving by fielding calls, and welcoming and directing the public. This front desk seat is where professionalism meets purpose.

Performs calendaring and some clerical tasks and interacts with court staff and the general public in the performance of duties.

Hiring Pay Rate: $16.54/hour.

This is a classified position that reports directly to the Manager, Court and Calendar Services. The incumbent performs duties with direct supervision and has no supervisory responsibilities.

Once a candidate formally accepts a job offer with Superior Court, Juvenile Court, or Justice Court (Tucson and Ajo), all other active applications they may have submitted for different roles within these courts will be inactivated. This ensures clarity in our hiring process and allows us to focus on onboarding and supporting the candidate in their new role.

Minimum Qualifications:

A High School diploma or equivalent G.E.D. certificate and two years of clerical and/or data entry experience; Or the equivalent amount of experience, training and education approved by Human Resources. Work experience in a legal setting and/or the court environment is preferable.

Preferred Qualifications:

1. Exceptional customer service experience.

2. Experience managing multiple responsibilities (phones, reception, while keeping operations smooth and deadlines met.

3. Proficient in Microsoft Word, Excel, and Outlook, and using standard office equipment (copiers, fax, computers).

4. Court or legal setting experience is preferred.

Essential Duties & Functions:

• Performs duties at the court reception desk, greeting and directing incoming clients.

• Searches for, retrieves, and provides information on case disposition to concerned parties using both manual and automated systems.

• Operates a multi-line phone console.

• Using automated and manual information systems enters updates, retrieves and proofreads court case information.

• Researches the reasons for returned mail and redistributes mail.

• Files dated reports and documents in appropriate storage area.

• Archives a variety of detention, social and medical files.

• Retrieves archived files upon request.

• Maintains and operates office equipment such as fax machines, copiers, printers, desktop computers, calculators, and paper shredders.

Additional Responsibilities/Duties:

• Performs related duties and special projects as assigned.

Knowledge, Skills, and Abilities:

• Must have knowledge of general office procedures and practices to include record keeping, filing and typing forms, documents and correspondence.

• Must have knowledge of office equipment and software such as Microsoft Word, Outlook, and Excel.

• Must have knowledge of business English, grammar punctuation, spelling, and a good mathematical aptitude.

• Must have the skills to operate a computer to enter and retrieve information in a complex database.

• Must have good organization and time management skills, and the ability to work to established time constraints and deadlines.

• Must have the ability to communicate effectively with wide variety of court coworkers, judicial staff, attorneys, and the public.

Licenses and Certificates:

None required.

Physical/Sensory Items:

Typically performs duties in an office environment and may lift materials and/or equipment 20 lbs or less. The incumbent will copy and distribute court documents requiring repetitive hand/arm movements, bending, stooping, and walking.
