We are seeking a detail-oriented and organized Operations Assistant to manage the end-to-end process of handling Tax Free forms and related customer service tasks. This role involves printing and shipping documentation, coordinating with partner stores and internal teams, handling customer inquiries, and ensuring accurate record-keeping using Salesforce. The ideal candidate is proactive, efficient, and able to multitask in a fast-paced environment.

What will you do:

  • Tax Free Documentation Management - Process incoming orders from partner stores and print Tax Free forms,
  • Shipping & Logistics - Schedule and dispatch shipments via the ACS courier platform, manage monthly receipt and redistribution of original Tax Free forms from the Poland-based processing team to merchants upon request.
  • Verification & Support - act as the liaison for verifying Tax Free receipt information with partner stores, confirming transaction details such as purchase dates and amounts when needed.
  • Customer Service - Handle incoming phone calls regarding order placements or inquiries related to the Tax Free service, maintain a professional and helpful demeanor in all communications.
  • Data Management - Log all orders, calls, and relevant interactions in Salesforce to ensure accurate and up-to-date records.

Who you are:

  • Previous experience in administrative support, operations, or customer service roles preferred.
  • Strong attention to detail and organizational skills.
  • Proficiency with Microsoft Office Suite and familiarity with Salesforce or other CRM platforms.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple tasks and deadlines efficiently.
  • Familiarity with shipping logistics and courier platforms (e.g., ACS) is a plus.
  • Fluent in Greek and English.
